Brothers Mechanical Services® (BMS Federal) is a fast-growing commercial and government mechanical contractor based in Manassas, Virginia, providing full-service refrigeration, heating, ventilation, air conditioning, boiler, and chiller maintenance to government and commercial clients.

Position Overview

BMS Federal is seeking an experienced Accounting & Business Operations Manager to lead day-to-day accounting operations and provide administration support for the Vice President to include assisting with capture/proposal functions. This role owns the oversight of accounts payable, accounts receivable, payroll, and financial reporting, while also coordinating contract documentation, proposal support, and office operations alongside project, contracts, and business development teams. The ideal candidate is a detail-oriented, dependable leader with hands-on ERP experience — NetSuite strongly preferred — and a track record managing both accounting and operational functions in a fast-paced environment, ideally within construction or mechanical contracting.

Key Responsibilities

Accounting & Finance

• Manage accounts payable and accounts receivable, including billing, collections, and reconciliations.

• Prepare financial reports and support month-end and year-end close processes.

• Maintain accurate, audit-ready financial records in accordance with company policy.

• Oversee payroll processing and employee expense reimbursements.

• Manage vendor relations, vendor set-up, and expense tracking.

Contract & Proposal Support

• Track and manage project contracts and subcontract documents in coordination with senior project managers.

• Track active capture and proposal efforts, and serve as final editor for proposal submissions.

• Support administration of federal, state, and commercial project documentation.

Office Administration

• Assist the Vice President with scheduling, calendar management, and correspondence needs.

• Route and respond to incoming calls, emails, and general correspondence.

• Research and prepare materials, reports, and data for senior management as needed.

Team & Client Relations

• Serve as a primary point of contact between staff, clients, and vendors.

• Coordinate effectively with field crews and internal departments.

• Deliver professional, responsive customer service and resolve client inquiries.

Required Skills & Competencies

• Proficiency in NetSuite or a comparable accounting ERP system (required).

• Strong working knowledge of the Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).

• Strong organizational skills with the ability to manage multiple priorities and deadlines.

• Excellent verbal and written communication skills.

• Sound problem-solving, analytical, and decision-making skills.

• Ability to handle confidential information with discretion.

• Familiarity with the construction or mechanical services industry preferred.

Requirements

• Education: Associate degree in Accounting or equivalent experience required; additional business or financial training a plus.

• Experience: Minimum of 5 years in accounting or office management; HVAC, mechanical, or construction industry background strongly preferred.

• Technical: Comfortable with accounting systems, digital communication tools, and standard office equipment.

• Personal: Motivated, detail-oriented, adaptable, and able to manage multiple priorities under deadline pressure.
