About the Opportunity
Our client is an award-winning interior design firm seeking an experienced Business & Operations Manager to oversee the firm's financial, operational, administrative, and human resources functions.
This is a key leadership position that partners closely with the firm's Principals to ensure operational excellence while supporting strategic growth initiatives. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, creative, project-driven environment.
Key Responsibilities
Financial Operations

  • Manage accounts payable and accounts receivable, including vendor payments, client invoicing, collections, deposits, and cash receipts.
  • Oversee bookkeeping functions and maintain accurate financial records across multiple business entities.
  • Prepare monthly financial reports, cash flow projections, revenue analysis, overhead reporting, and project profitability summaries.
  • Monitor banking activity, wire transfers, credit cards, account reconciliations, and financial allocations.
  • Coordinate tax documentation and support accounting and finance partners as needed.
Business & Office Operations
  • Oversee daily office operations and administrative functions.
  • Develop, implement, and improve internal processes, SOPs, and operational controls.
  • Manage vendor relationships, insurance renewals, office services, lease obligations, and professional service providers.
  • Support leadership with forecasting, planning, scheduling, travel coordination, client communications, and special projects.
Human Resources & Employee Administration
  • Administer payroll, employee benefits, timesheets, PTO tracking, and reimbursements.
  • Manage recruiting, onboarding, offboarding, employee records, and internal communications.
  • Serve as the primary liaison with the company's Professional Employer Organization (PEO).
Project Financial Management
  • Manage project financial administration, including:
    • Client contracts
    • Fee tracking
    • Time billing
    • Client invoices
    • Project budgets
    • Final billing
    • Project closeout
  • Coordinate purchasing funds with procurement and bookkeeping teams to ensure financial accuracy.
Qualifications
Required
  • Minimum 5+ years of experience in business operations, office management, accounting support, or financial administration.
  • Experience within an interior design, architecture, construction, engineering, or project-based professional services environment is strongly preferred.
  • Strong proficiency with:
    • QuickBooks
    • Studio Designer
    • Microsoft Office Suite
  • Demonstrated experience managing:
    • Accounts Payable
    • Accounts Receivable
    • Payroll
    • Client Billing
    • Cash Flow Reporting
    • Financial Documentation
  • Strong financial analysis and reporting skills.
  • Excellent organizational and project management abilities with the capacity to manage multiple priorities simultaneously.
  • Exceptional attention to detail and accuracy.
  • Self-motivated with excellent problem-solving skills and the ability to work independently.
  • Outstanding written and verbal communication skills with the professionalism to interact confidently with leadership, clients, vendors, and external partners.
Preferred Experience
  • Background supporting an interior design or architecture firm.
  • Experience with project-based financial management and client billing.
  • Familiarity with payroll administration, HR processes, and office management.
  • Experience improving business processes and operational efficiencies.
