Position Summary

If you thrive in a fast-paced environment and love bringing order to chaos, we want to hear from you.

Key Responsibilities

Executive & Sales Support

  • CEO Partnership: Work side-by-side with the Founder/CEO to manage special projects, draft reports, and execute strategic growth initiatives.
  • Sales & Account Support: Assist with wholesale client onboarding, coordinate vendor documentation, and provide administrative support to the sales workflow as required.
  • Cross-Functional Aid: Act as a flexible internal resource, stepping in to support logistics, customer experience, and executive needs to keep the business moving smoothly.

Office Administration & Infrastructure

  • Office Coordination: Serve as the main point of contact for the office, maintaining a clean, professional, and highly efficient workplace.
  • Guest Experience: Manage the front office experience, providing a warm, professional welcome to all visiting clients, partners, and guests.
  • Vendor & Tech Management: Oversee relationships with office suppliers, utilities, and IT/technology vendors to ensure zero downtime in daily operations.

Project & Operations Management

  • Project Tracking: Act as the central project manager for product development timelines, ensuring tasks with moving parts cross the finish line on time.
  • Process Optimization: Implement, document, and improve standard operating procedures (SOPs) to boost team productivity.
  • Logistics Collaboration: Support the Director of Operations to ensure fulfillment center success and seamless wholesale account operations.

Team Leadership & HR Support

  • Team Advocacy: Foster a positive, collaborative culture, acting as an accessible resource and mentor for internal team members.
  • HR & Payroll: Handle confidential HR functions, including employee onboarding, training coordination, benefits administration, and payroll processing.

Skills & Qualifications

  • Experience: 3+ years of experience in a management role, specifically within Business Operations, Project Management, or an Executive Assistant capacity.
  • Industry Preference: Previous experience in E-commerce or Consumer Packaged Goods (CPG) is highly preferred.
  • Education: Bachelor’s degree or equivalent practical business experience.
  • Technical Savvy: Highly proficient in both Google Suite and Microsoft Office, with a natural aptitude for quickly learning new software and digital tools.
  • Meticulous Attention to Detail: Exceptional organizational skills; a person who naturally double-checks facts, tracks deadlines, and catches things before they slip through the cracks.
  • Mindset: An entrepreneurial, self-motivated work ethic with a passion for helping teams solve challenges and achieve goals.
