Job Description
The Department of Medicine is seeking a highly motivated, solution-oriented, and detail-driven individual to join our team as a Business Operations Associate II. This position plays a vital role in supporting the administrative, business, and research operations that advance the department's mission. The ideal candidate will be proactive, organized, and comfortable working in a fast-paced environment with faculty, staff, and partners.
Post-Award Research Administration:
The Business Ops Associate II plays a critical role in advancing the department's research mission by ensuring sponsored project funds are managed efficiently, accurately, and in compliance with institutional and sponsor requirements. This position supports the financial and administrative oversight of externally funded grants and contracts throughout the post-award lifecycle, helping research projects remain on track and aligned with strategic institutional priorities.
This role is responsible for monitoring grant expenditures, ensuring compliance with federal, state, sponsor, and university regulations, preparing financial reports, supporting grant renewals and closeouts, and collaborating closely with faculty, principal investigators, and institutional offices. By providing expert post-award administration, this position allows faculty to focus on high-impact research, publications, innovation, and proposal development, ultimately increasing research productivity and long-term funding success.
Key Responsibilities
• Manage the financial administration of sponsored research awards from agencies and external sponsors.
• Monitor grant budgets, expenditures, cost transfers, and reconciliations to ensure accuracy and compliance.
• Ensure timely submission of financial reports, invoicing, effort certifications, and sponsor deliverables.
• Provide guidance to faculty and research staff regarding post-award policies, procedures, and compliance requirements.
• Assist with grant renewals, extensions, amendments, and award closeout activities.
• Identify and resolve financial discrepancies, compliance concerns, and reporting issues proactively.
• Collaborate with institutional offices, sponsors, and departmental leadership to support research operations and strategic initiatives.
• Maintain accurate documentation and records in accordance with institutional and sponsor regulations.
• Support continuous process improvement efforts to enhance operational efficiency and research support services.

8:00 a.m. - 5:00 p.m.
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred Qualifications
• Experience in research administration, grant management, accounting, finance, or related administrative support.
• Knowledge of sponsored research regulations, post-award processes, and compliance requirements.
• Strong analytical, organizational, and problem-solving skills.
• Ability to manage multiple priorities and deadlines in a fast-paced environment.
• Excellent communication and collaboration skills.
• Experience working with financial systems, reporting tools, and Microsoft Office Suite preferred.
Anticipated Hiring Range
Salary Range: $22.10 - $30.90 hourly
