Job Title: Executive Assistant
Department: Admin
Reports To: President, Business Operations
Location: This position is 100% in-office based out of the United Center in Chicago, IL
Hours: Standard business hours for this position are 8:30 am - 5:30 pm / Monday – Friday. However, this position will require extensive non-traditional hours including nights, weekends, and at times holidays based on the event schedule. This role has game day responsibilities and will be expected to attend all home games.
Status: Full-Time, Exempt

Compensation: The budgeted annual salary range for this position is $70,000 to 90,000. The final offer will be determined based on the candidate's qualifications, experience, and internal equity considerations. This role is eligible to participate in the Company's annual bonus program.

This Chicago Blackhawks are looking for a dynamic, hungry, exceptionally polished Executive Assistant who thrives at the center of a fast-paced professional sports organization. The ideal candidate for this position is someone who genuinely loves the details – calendars, logistics, preparation, follow-through, and anticipating what’s needed before anyone has to ask. This person is sharp, poised, and relentlessly organized. They take pride in being three steps ahead, know that no detail is too small, and get real satisfaction from making complex operations feel effortless. Importantly, they are highly discreet, solution-oriented, collaborative and willing to jump in wherever needed.
Role Summary:

The Executive Assistant provides high-level administrative support to the President of the Chicago Blackhawks and serves as day-of host and operator of the Owners Suite and VVIP hospitality experiences. Attendance at home games - including nights, weekends, and holidays during the season - is a required and essential function of this role, not occasional or optional. This role requires absolute discretion, sound judgment, genuine hospitality, and the ability to anticipate needs before being asked.
Primary Responsibilities:
Administration & Operations

  • Manage the President's calendar, coordinating 1:1s and executive-level meetings across the leadership team
  • Coordinate travel through internal travel agents, managing itineraries, accommodations, transportation, and logistics for the President and accompanying travel parties
  • Provide calendar management and expense/receipt support to the CFO of Wirtz Corporation (~15% of time)
  • Partner closely with administrative counterparts at affiliated organizations on cross-calendar scheduling
  • Lead end-to-end logistics for business day guests meeting with President, senior leadership events, and special organizational events
  • Prepare and distribute executive game night summaries
  • Manage the yacht schedule on behalf of the organization, in collaboration with relevant stakeholders
  • Manage designated administrative budget including hospitality, gifting, and other related expenses
  • Anticipate needs, identify potential challenges and solutions, and proactively resolve issues
  • Other duties as assigned

Owners Suite & VVIP Hospitality

  • Required to attend and host all home games (no remote or partial coverage for this function)
  • Host the Owners Suite and Chairman's Club on game nights including menu planning (in coordination with the food & beverage partner), guest lists, gifting, and overall logistics
  • Manage premium ticketing coordination with United Center partners
  • Coordinate hospitality logistics for VIP and ownership guests: ticketing, parking, security, food & beverage, seating, gifting, and special requests
  • Execute VIP experiences from arrival through departure, ensuring a seamless, high-touch guest experience
  • Coordinate VIP in-game integrations (scoreboard recognition, bench visits, meet-and-greets, etc.) with Corporate Partnerships, Marketing, Events, and other departments as needed

Qualifications & Requirements:

  • 5+ years supporting senior executives, ideally in sports, entertainment, or hospitality-driven environments
  • Bachelor’s degree in Business Administration, Management, or related field.
  • Natural hospitality instincts - comfortable hosting VIPs and ownership-level guests in a polished, high-touch setting
  • Exceptional discretion and proven ability to handle confidential information
  • Self-starter, comfortable with ambiguity and shifting priorities in a fast-paced, high-profile environment
  • Experience and excitement for managing complex calendars, executive travel, meetings, and problem-solving
  • Strong event-planning, catering/menu coordination, and vendor-management experience
  • Excellent written, verbal, and interpersonal communication skills
  • Experience and demonstrated ability leveraging AI tools to improve efficiency across administrative workflows
  • Must be able to work all home games, including nights, weekends, and holidays, as a condition of employment
