POSITION OVERVIEW

We are looking for a highly organized, proactive, and detail-driven Operations Assistant to support our Operations Coordinator and service team.

This is not a passive administrative role — this person will play a key role in keeping jobs moving, ensuring follow-through, and maintaining clear communication across clients, technicians, and internal operations.

The right candidate is someone who takes ownership, follows through without being asked, and thrives in a fast-paced, execution-focused environment.

WHAT YOU’LL OWN
  • Keep active jobs moving by tracking progress, identifying gaps, and ensuring timely follow-up
  • Communicate confidently with clients regarding scheduling, updates, and next steps
  • Coordinate service appointments between clients and technicians with accuracy and efficiency
  • Manage parts and equipment ordering, tracking, and issue resolution
  • Support quoting and proactively follow up to move opportunities forward
  • Maintain clean, accurate records across jobs, invoices, and service documentation
  • Assist with invoicing and warranty processing with strong attention to detail
  • Act as operational support to ensure nothing falls through the cracks

  • Bachelor’s degree or equivalent experience preferred

WORK SCHEDULE & ENVIRONMENT
  • Part-time: Approximately 25 -35 hours per week
  • Monday–Friday during business hours
  • Hybrid role:
    • In-person required during first month of training
    • Ongoing in-office presence required at least 3 days per week
COMPENSATION & OPPORTUNITY
  • Training Period and Probationary Period: $18/hour
  • Post-Training: $18–$23/hour (based on performance)
  • Contract-to-hire with clear path to full-time within 3-6 months
  • Opportunity to grow into expanded operations or coordination responsibilities
