The Role

We are seeking an Administrative Assistant I to join our team in Vancouver, WA! In this role, you'll be a pivotal part of our daily operations. You'll be responsible for a variety of administrative tasks, office organization, and client support, all while contributing to an efficient, organized, and fun office environment. This is more than just an administrative positionโ€”you'll actively engage with our clients and other team members of the firm, becoming an integral part of our team while fostering meaningful relationships!

Key Responsibilities

ยท Perform front desk duties such as greeting clients, answering phones, handling incoming/outgoing packages and mail, scanning and running errands.

ยท Maintain knowledge of general practices to properly serve clients (ex: billing policy minimums for new clients, understanding tax forms and lingo)

ยท Process paper and electronic assembly/delivery of tax returns/documents according to firm policy.

ยท Communicate project deadlines, status updates and workflow questions.

ยท Assist with daily cash deposits and take client payments as necessary.

ยท Maintain safe and organized office environment, maintaining neat and orderly presentation to employees and client's comfort and accessibility. (ex: conference room organization and cleanliness)

ยท Assist with internal firm snacks, meals and events

ยท Keep up tax return in-office paper scan shelf

ยท Maintain cleanliness of shared kitchen space - opening and closing duties (ex: unload and run dishwasher; monitor fridge cleanliness - communicate with staff as needed).

ยท Complete batch client communications as assigned (ex: not in calls, 8879 calls)

ยท Support Firm professionals and Admin Teams.

ยท Other special projects as assigned.

Required Qualifications

ยท High school diploma or equivalent

ยท 3+ years of administrative support experience

ยท Advanced working knowledge of Microsoft Office Suite.

ยท Ability to handle confidential material in a reliable manner.

ยท Commitment to providing exceptional service, both internally and externally.

ยท Will require some overtime hours during busy season.

Preferred Qualifications

ยท Bachelor's degree

ยท Experience with CCH

ยท Experience working in a public accounting firm or professional services environment

The pay range for this role is $25.00 - $30.00 per hour. This range includes the anticipated low and high end of the pay range for this position. Actual compensation may vary based on various factors, including experience, education and/or skill level.
