Job description

Business Development Coordinator

OnPoint Building Services is seeking a Part-Time Business Development Coordinator whose top priority is growing new business through prospecting, research, cold calling, and appointment setting (approximately 60%). The remaining time (approximately 40%) is spent providing direct support to the Director of Business Development, filtering and triaging email, managing the calendar, and tracking to-dos so the Director of Business Development can stay focused on selling and building relationships. This is an on-site position at our main office in Virginia Beach, ideal for a proactive, sales-savvy individual who is also comfortable managing another person's inbox and schedule.

The ideal candidate is comfortable working with CRM software, MS Office, Google Suite, AI tools, and other software and is eager to learn. Strong communication skills, comfort with cold outreach, attention to detail, and the ability to manage multiple priorities are essential for success in this role.

Main Responsibilities
  • Conduct sales research to identify ideal prospects
  • Qualify potential leads through research, cold calling, and cold emailing
  • Manage sales target lists and update CRM software (Pipedrive), tracking new deal opportunities through each stage of the sales process
  • Set up prospect appointments and walkthroughs for the Director of Business Development, coordinating with the customer to find a time that works for everyone
  • Follow up on inbound leads submitted through the company website
  • Assist in proposal creation by compiling necessary information and ensuring documents are professional and polished (Canva templates, proposal software, pricing, scope of work, org chart, staffing information)
  • Help with email marketing campaigns and blog writing
  • Manage company social media pages (e.g., LinkedIn)
  • Organize sales resources and materials in Google Drive
  • Efficiently use AI to save time across all activities
  • Assist with new client onboarding, including notetaking during internal kickoff meetings and drafting emails to customers
  • Support the operations team as needed during onboarding
  • Read and triage the Director of Business Development's email daily — filter out what doesn't need their attention, flag and summarize what does
  • Draft emails for the Director of Business Development's review and send
  • Add, remove, and adjust calendar events
  • Send company-wide weekly emails
  • Attend Leadership, Sales, and Marketing L10 meetings and record notes and to-dos
  • Track the Director of Business Development's to-dos arising from any meeting or activity (L10s, client meetings, C12 meetings, phone calls, etc.)
  • Help hold the Director of Business Development accountable to commitments and deadlines

Company systems support

  • Help build and maintain a system to house company processes; facilitate meetings to document new processes as departments need them
  • Organize events and networking opportunities (conferences, outings, etc.) and add relevant opportunities to the Director of Business Development's calendar
  • Handle ad hoc tasks and requests as needed to support daily operations
Qualifications

Required:

  • Comfortable making outbound phone calls and not afraid of rejection
  • Ability to conduct research and effectively qualify sales prospects
  • Strong verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Competency/ willingness to learn CRM software, Microsoft Office, Google Workspace Suite, AI tools, and other software
  • Self-motivated, able to work independently, and manage multiple priorities
  • Must be able to work on-site at our Virginia Beach office

Preferred:

  • Experience in sales support, business development, or lead generation
  • Familiarity with lead generation techniques and email marketing platforms
  • Prior experience with Pipedrive or another CRM
  • Experience as an executive or administrative assistant

Success in this role will be measured by the following outcomes:

  • Appointments & Meetings Set - number of qualified prospect appointments and walkthroughs set for the Director of Business Development/sales team each week
  • Time Saved for the Director of Business Development- measurable reduction in time spent on email and calendar management.
