JOB OVERVIEW

The Business Development Operations Associate provides operational and administrative support to the AUM+ Growth and Impact Team.  Reporting to the Director of Business Development Operations, this role supports AUM+’s growth and client engagement efforts through the maintenance of client workflows, management of shared inboxes, improving CRM data integrity, drafting prospect and client communications, and seamless coordination of activities across the business development pipeline. 

The Associate helps the Growth and Impact team stay organized, responsive, and efficient. The ideal candidate is highly organized, detail oriented, customer-service focused and enjoys creating structure and ensuring a consistent value-aligned experience for clients in a fast-paced environment. They should also be passionate about supporting relationship driven teams in a collaborative, mission-driven environment.  

Note: This is not a traditional fundraising role. The ideal candidate has an interest in understanding the role of funding intermediaries within the philanthropic sector and giving vehicles used by intermediaries.  

CORE RESPONSIBILITIES 

Business Development Operations & Administration  

  • Support the Director of Business Development Operations in day-to-day management of business development operations, ensuring smooth and efficient execution of prospect and client engagement activities.  

  • Maintain and update CRM records, prospect pipelines, engagement tracking, and workflow tools.  

  • Support the administrative processes associated with lead intake, routing, and follow up.  

  • Ensure intake information is accurately documented and shared with appropriate team members.  

  • Prepare materials and presentations to support prospective funder and donor engagement.  

  • Maintain accurate records of prospective client meetings, interactions, and next steps. 

  • Assist with prospect research and data gathering.  

  • Support the creation and maintenance of routine reports, dashboards, and pipeline updates for the Growth and Impact Team.  

  • Assist with implementation, maintenance, and ongoing improvement of business development workflows and processes.  

  • Ensure all document and filing is conducted in a timely manner and in accordance with the organization’s document retention practice 

Inbox and Client Workflow Management  

  • Monitor and manage shared business development inboxes and ensure timely routing and follow up of inquiries from prospective clients, donors, and external stakeholders.  

  • Coordinate prospective client communications, scheduling and follow up activities.  

  • Track outstanding action items and ensure timely completion, including Fund agreements, and securing initial contributions.  

  • Support handoff of new clients to Philanthropic Services for onboarding and administrative set up for new clients.  

Internal Team Administrative Support  

  • Assist with documenting and improving standard operating procedures (SOPs). 

  • Provide administrative support to the Growth and Impact team 

  • Coordinate calendars, meetings and scheduling with internal and external stakeholders.  

  • Prepare agendas, briefing materials, presentations, meeting notes and follow up action items.  

  • Support Growth and Impact team events including invite lists, managing zoom registrations and other day-of support.  

  • Track project deliverables, deadlines milestones for Growth and Impact Initiatives.  

  • Support coordination of cross functional projects involving internal teams including, Philanthropic services, Grants, Finance, Legal, Compliance, etc.  

  • Assist with special projects as needed.

MINIMUM REQUIREMENTS 

  • 2-3 years of experience in business development supporting fundraising operations, executive support, or client services in a nonprofit environment. Experience within an intermediary is preferred.  

  • Exceptional organizational skills with strong attention to detail and follow-through.  

  • Experience managing databases, CRM systems, or project management platforms. 

  • Strong written and verbal communication skills. Ability to effectively communicate across a diverse set of mediums including presentations, collateral, emails, etc.     

  • Strong client service skills -- responsive, anticipates concerns, and ability to problem solve.  

  • A solutions-oriented mindset with a client focused approach to engagement and service delivery.    

  • Strong relationship building ability, attention to detail, managing systems, and results-oriented.

  • Deep commitment to customer service. 

PREFERRED QUALIFICATIONS 

  • Proficiency in Microsoft Office, Slack, AirTable and Monday.com.  

  • Familiarity with CRM platforms like Salesforce, HubSpot, etc.  

  • Knowledge of Donor Advised Funds (DAFs), collaborative funds, fiscal sponsorship or intermediaries is preferred 

  • Experience preparing reports and dashboard.    

SALARY AND BENEFITS

The salary for this position is $64,000 commensurate with experience.  This position is remote and a U.S. based role. The role will require domestic travel, as needed, including the AUM+’s retreats as necessary.  Generous benefits package includes 100% employer-paid health insurance (medical, dental, and vision), 401k match, PTO and leave policies, professional development funds, and remote work stipend.
