Patient Care Coordinator

Edmonton, AB

Job Duties and Responsibilities:

  • Greets customers when they enter
  • Answer phone/make phone calls for various purposes
    • Confirm appointments
    • Schedule appointments for assigned office and/or any applicable out of town clinics
    • Manage incoming phone calls, deliver and return messages
    • Outbound calls to our patients for various purposes
  • Scheduling to maximize test opportunities for the office and any out of town clinics
  • Order and sell products
  • General office and administrative duties
    • Pull charts for customers scheduled for hearing tests or other appointments
    • Stock shelves (batteries, pamphlets, supplies etc.)
    • Invoicing for hearing aids and other products or services
    • Customer information entry into clinical management system
    • Prepare the out of town clinic schedules for the Hearing Care Professionals to take with them
    • Receive hearing aid repairs and enter appropriate information into the system
    • Receive mail, process incoming payments and distribute mail
    • Mail batteries/supplies on customer request
    • Mail hearing aids when requested
  • Perform follow up activities with customers and other leads
  • Be able to accurately process all clinic forms as they relate to customer care (i.e., customer records, financial forms, and insurance contracts where applicable).
  • Develop and execute lead generation test opportunities through business networking and outreach within the community
  • Manage customer database and call list
  • Submit insurance claims and follow-up with insurance plans where applicable
  • Manage account receivables and payables
  • Cash management including making bank deposits and balancing out sales media
  • Make sales calls to help generate business
  • Assist the Hearing Care Professionals
  • Perform a variety of cleaning duties to maintain a clean work environment and clean patient care areas
  • Follow all Beltone corporate policies and procedures

Desired Qualifications:

  • High School diploma or equivalent is required
  • 2 years of previous office experience is preferred
  • 2 years of previous sales and customer service experience is preferred
  • Must be well organized and able to multitask effectively
  • Must have the ability to communicate effectively in English, verbal and written
  • Must be proficient in MS Office and possess good computer skills
  • Must have the ability to sit at a desk for 70%-90% of the work day
  • Must be self-motivated and highly organized
