Job description

The Business Analyst supports the Billing & Records departments by assisting with business process improvement, system administration, reporting, and operational initiatives. Working closely with department leadership, Information Technology, attorneys, legal support professionals, and external vendors, this role helps identify opportunities to improve efficiency, enhance data quality, and support the successful delivery of technology and process improvement projects.

This position provides an excellent opportunity to build expertise in finance operations, legal technology, business analysis, and project management while contributing to key departmental initiatives.

WORK SCHEDULE

This position is based in a professional office environment in Minneapolis and follows the Firm's hybrid work model with expectations to work in the office on Wednesday & Thursday each week. Additional hours may occasionally be required during month-end close, system implementations, software deployments, and special projects.

ESSENTIAL FUNCTIONS

Business Process Support

  • Assist in evaluating Billing & Records workflows and identify opportunities to improve efficiency, accuracy, and service delivery.
  • Document business processes, workflow diagrams, and standard operating procedures.
  • Participate in business process improvement initiatives under the guidance of department leadership.
  • Assist in identifying operational issues and recommend practical solutions.

Systems & Application Support

  • Support the administration and maintenance of Billing & Records applications, including Elite 3E, Aderant, Intapp, Billblast, BillStream, eBillingHub, SharePoint, and related systems.
  • Assist with troubleshooting system issues and escalate complex matters appropriately.
  • Coordinate system testing, software updates, and enhancement requests.
  • Help maintain application documentation and user procedures.

Reporting & Data Analysis

  • Develop, maintain, and distribute operational and financial reports.
  • Analyze data to identify trends, exceptions, and opportunities for improvement.
  • Assist with the development of dashboards, KPIs, and departmental reporting.
  • Support month-end billing activities through reporting, validation, and issue resolution.

Project & Change Support

  • Participate in technology implementations and business process improvement projects.
  • Assist with gathering business requirements and documenting functional needs.
  • Support User Acceptance Testing (UAT), defect tracking, and deployment activities.
  • Help develop training materials, user guides, and communication plans.
  • Provide end-user support during system implementations and enhancements.

Collaboration & Customer Support

  • Provide guidance and support to Billing & Records staff, legal administrative assistants, and attorneys regarding department systems and procedures.
  • Build collaborative relationships with Finance, Information Technology, Records, Billing, and other business departments.
  • Support special projects and other departmental initiatives as assigned.
  • Provide operational support for critical department functions, including conflict searches, as needed to support business continuity.

KNOWLEDGE AND SKILLS REQUIRED

  • Strong analytical and problem-solving skills.
  • Ability to analyze business processes and recommend improvements.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Experience creating reports and analyzing data.
  • Intermediate to advanced Microsoft Excel skills, including PivotTables, formulas, and data analysis.

EDUCATION AND EXPERIENCE REQUIREMENTSย 

Educationย 

  • Bachelorโ€™s degree in Business, Finance, Accounting, Information Systems, or a related field, or an equivalent combination of education and experience.

Experienceย 

  • 1โ€“4 years of experience in business analysis, finance operations, billing, records management, accounting, project coordination, or a related business function.
  • Experience working with Elite (3E), Aderant, Intapp, Billblast, BillStream, eBH, SharePoint, and related system applications is preferred.
  • Experience in a law firm or professional services environment is a plus but not required.

PHYSICAL DEMANDS OF POSITIONย 

Work is performed in a professional office environment and requires the following during the workday:ย 

  • Must be able to remain in a stationary position for long periods of time (working at a computer)
  • Ability to move/traverse throughout the office intermittently throughout the day (attend meetings, access file cabinets, obtain supplies from supply room, etc.)
  • Operate computer and other office equipment such as a copy machine, printer, telephone, etc.
  • Repetitive movement (i.e. heavy computer/keyboard use).
