Position Summary

The Procurement & Materials Manager is responsible for developing and managing Forestwood's purchasing, sourcing, inventory, and material coordination across daily maintenance operations, renovations, capital projects, and owner construction projects. This position drives cost savings through strategic sourcing, vendor negotiations, material standardization, and inventory management while ensuring field teams have the materials they need to complete work safely, efficiently, and on schedule.


This is a newly created role and an opportunity to help build and shape Forestwoodโ€™s procurement and materials management function. The successful candidate must be comfortable operating independently, identifying opportunities, and creating structure where processes may not yet exist.


Responsibilities
Strategic Procurement & Vendor Management

  • Source and negotiate pricing for construction materials, maintenance supplies, fixtures, appliances, flooring, paint, plumbing, HVAC, electrical, and renovation materials.

  • Develop and maintain preferred vendor relationships.

  • Continuously evaluate suppliers for quality, pricing, reliability, and service.

  • Identify new vendors to improve pricing, quality, and supply chain resilience.

  • Monitor market pricing and proactively recommend cost-saving opportunities.

  • Negotiate contracts, pricing agreements, rebates, and purchasing programs where appropriate.


Purchasing & Material Coordination

  • Manage purchasing for service work orders, apartment turns, capital improvements, renovation projects, and owner construction projects.

  • Place purchase orders and coordinate deliveries.

  • Track orders, backorders, substitutions, and delivery schedules.

  • Ensure materials are available before work begins to minimize project delays.


Inventory & Warehouse Management

  • Establish and manage inventory processes for commonly used maintenance and renovation materials.

  • Manage bulk purchasing opportunities and storage.

  • Conduct periodic inventory audits.


Reporting & Analytics

  • Produce monthly reports including material spend, budget vs. actual, cost savings, vendor performance, inventory levels, emergency purchases, and purchasing trends.

  • Recommend operational improvements based on purchasing data.


Cross-Functional Collaboration

  • Work closely with the Director of Service & Construction to support project execution.

  • Coordinate with Operations Coordinators to centralize purchasing responsibilities.

  • Support Community Managers, Property Managers, and service technicians with timely procurement of required materials.

  • Continuously improve purchasing workflows and approval processes.


Qualifications

  • 3โ€“5+ years of procurement, purchasing, inventory, construction, maintenance, facilities, or multifamily operations experience.

  • Strong vendor negotiation and relationship management experience.

  • Knowledge of construction and maintenance materials.

  • Experience managing purchasing budgets and multiple concurrent projects.

  • Strong organizational and analytical skills.

  • Advanced Excel and purchasing software experience.

  • Experience with AppFolio or property management software preferred.

  • Bachelor's degree preferred; equivalent industry experience strongly considered.


Success Measures

  • Reduce material costs through strategic sourcing and negotiation.

  • Develop and maintain a preferred vendor network.

  • Maintain appropriate inventory levels while minimizing excess stock.

  • Reduce emergency purchases.
