Job description

We are currently seeking a Bids Desk Coordinator to be the central hub for our bidding pipeline. You are responsible for monitoring bid boards, downloading project documents, and ensuring our internal teams have all necessary documentation to create accurate estimates on time to bidding parties. 

Key Accountabilities (results expected to be achieved):

  • Knowledge of GC Bid Process to support Project Management team  and perform responsible tasks from ITB request to bid submission.
  • Timely and accurate submission of estimates to requesting parties.
  • Collaborate effectively and develop positive relationships with internal team, contributing to an inclusive company culture.

Key Responsibilities (tasks that you do to achieve the accountabilities)

  • Lead Sourcing & Monitoring: Daily monitoring of bid portals (e.g., Dodge, Blue Book, Building Connected, Construct Connect) for new projects that fit our criteria.
  • ITB Management: Setting up projects in project management software and sending out Project Management and Service center teams for estimate completion.
  • Data mining for additional bidding parties and submitting bids to multiple parties.
  • Monitoring bid due dates in project management software to ensure bid submission completed on time.
  • Support internal teams in General Contractor bid process from ITB to bid submission including the creation and duplicating of estimates.
  • Communicate with clients and internal teams regarding bid status and requirements.
  • Protect and secure all company assets on a daily basis.

Qualities for Success:

  • Experience: 1–3 years in an office coordinator or administrative role, preferably within construction.
  • High proficiency with spreadsheets (Excel/Google Sheets) and familiarity with bid management software like Building Connected, Plan Hub, or Procore.
  • Highly organized individual with strong attention to detail skills able to manage high volume workflow without missing a deadline or plan update.
