Job description

The Administrative Assistant for Student Life within the Division of Student Affairs will provide essential support to the Dean of Students and the Associate Dean for Student Life. This position will oversee the management of the Center for Student Leadership Development (CSLD) space and provide administrative support for the Dean of Students and Associate Dean for Student Life. The Administrative Assistant will also serve as the front-desk receptionist for the CSLD, acting as the primary point of contact for visitors and inquiries.

Essential Duties and Responsibilities include:

To perform this job successfully, an individual must be able to accomplish each of the below duties satisfactorily:

Assistance to Dean of Students

  • Manage Dean of Student’s credit card reconciliations, receipt management, invoice submissions, and budget progress.
  • Meeting support:
    • Equity & Grievance
    • Retention
    • Student Policy Committee
    • INT 100 logistics and support
  • Onboarding of new Student Affairs staff
  • University Services ticket and project management

Project Management:

  • Audit and submit revisions for Student Affairs website pages
  • Update signage
  • Event project management
  • Publication of policies: Title IX brochure, Student Code of Conduct, Housing Handbook, Drug Free Schools

Assistance to the Associate Dean of Student Life

  • Student Club Support: reconciling receipts, paying invoices, booking rooms, ordering supplies, etc.
  • Associate Dean of Student Life’s credit card reconciliations, receipt management, invoice submissions, and budget progress.
  • Support of University conduct management system and student employee conduct approval

Center for Student Leadership & Development (CSLD) management

  • Front Desk reception and oversight
  • Calendar management for Student Life Staff
  • Manage all aspects of the Center for Student Leadership Development (CSLD), which includes, but is not limited to:
    • Hospitality management and improvement
    • Poster Approval for CSLD Front Desk
    • Breezeway posters hung
    • Sings put out and brought in from outside the caf
    • Coffee Station for CSLD
    • CSLD - Cleaned, water plants (indoor and succulent wall), commuter fridge, Patio tickets, and set-up
  • Student Affairs Department support, including annual retreat, department meetings and gatherings, Commencement participation, etc.
  • Management of Student Life spaces, including supplies, reservations, communications, etc.

Other Responsibilities:

  • Active member of Student Affairs Staff
  • Other duties as assigned

This position requires flexibility and the ability to adapt to evolving needs. As such, additional responsibilities may be assigned as necessary to support the department's objectives and organizational priorities. The incumbent is expected to embrace new challenges with a proactive, positive attitude, contributing to the team's success and enhancing our community environment.

Pay Range: $22 - $23 per hour
