This role provides strategic oversight, coordinates internal and external resources, manages project financials, anticipates risks, and develops solutions to keep projects on track.

The ideal candidate is highly organized, proactive, and comfortable managing multiple projects and competing priorities in a fast-paced environment. Strong client relationship management, project management, problem-solving, and communication skills are essential, along with the ability to exercise sound judgment and work independently with minimal oversight.

Essential Duties and Responsibilities

    • Coordinate internal teams, subcontractors, vendors, and other stakeholders to ensure project objectives are achieved.
    • Monitor project progress and proactively identify and address issues that may impact timelines, budgets, or quality.
    • Manage projects in accordance with client requirements, Company standards, and established project management practices.
    • Conduct regular site visits and project walk-throughs to assess progress, identify needs, and ensure quality standards are met.
  • Client & Stakeholder Management
    • Serve as the primary point of contact for daily client communication via phone, email, virtual meetings, and in-person meetings.
    • Build and maintain strong relationships with clients, vendors, subcontractors, and internal teams.
    • Provide proactive project updates and communicate schedules, milestones, risks, and potential changes.
    • Represent the Company professionally and provide solutions that support client objectives.
    • Identify opportunities to expand services and increase revenue within assigned accounts.
  • Financial & Budget Management
    • Maintain financial oversight of assigned projects and accounts.
    • Develop and monitor project budgets to ensure compliance with client requirements and Company profitability objectives.
    • Review project costs, subcontractor pricing, and other expenses to maintain sustainable project margins.
    • Evaluate project opportunities and make informed decisions regarding scope, cost, and resources.
    • Monitor project financial performance and proactively address potential budget or margin concerns.
  • Subcontractor & Vendor Management
    • Manage subcontractor qualification, vetting, and bid evaluation processes for projects of moderate complexity.
    • Solicit and evaluate subcontractor proposals to ensure appropriate scope, pricing, qualifications, and value.
    • Coordinate subcontractors and vendors throughout project execution.
    • Monitor subcontractor performance, schedules, quality, and compliance with project requirements.
    • Develop and maintain strong vendor relationships while holding vendors accountable to project expectations.
  • Construction & Project Documentation
    • Coordinate the distribution, review, and management of architectural drawings and project documentation.
    • Develop and maintain project scopes, schedules, budgets, proposals, reports, correspondence, and other required documentation.
    • Conduct due diligence with local municipalities and coordinate with expeditors to support permitting and compliance requirements.
    • Ensure project documentation remains accurate, complete, and up to date throughout the project lifecycle.
  • Risk Management & Problem Solving
    • Identify project risks and potential obstacles before they impact project schedules, budgets, or client expectations.
    • Develop and implement solutions to address project challenges.
    • Escalate significant risks, issues, and decisions when additional support or approval is required.
    • Maintain composure and professionalism when managing high-pressure situations and competing priorities.
    • Use sound judgment and independent decision-making to keep projects moving forward while maintaining appropriate communication with management.
