Job description

Position Overview

Event Lab is looking for an energetic, results-oriented Brand Manager who’s passionate about bringing events to life. In this role, you’ll own the full journey of our assigned event brands, from creative planning and seamless execution to thoughtful post-event follow-up, turning great ideas into memorable moments for every participant.
You’ll guide race directors, rally staffing support, coordinate logistics, secure venues and permits, activate sponsorships, keep a sharp eye on the finances, and continually refine event concepts so they keep getting better. Expect to plan and deliver around 40 to 80 exciting events each year while building strong partnerships with venues, teams, and colleagues, and keeping everything well-documented along the way. The number of events depends on the assigned number of brands.

Key Responsibilities


Staffing

  • Oversee timely staffing for events in coordination with the logistics coordinator.  
  • Assist with off-season training schedules and deliver portions of the training curriculum.  
  • Support ongoing training opportunities for brand-related teams.


Support for Race Directors and Staff

  • Assist teams with event coordination and planning as needed.  
  • Conduct weekly meetings with Race Directors (RDs) to ensure adherence to 30/60/90-day planning rules and overall readiness.  
  • Hold pre-event meetings with RDs and staff the week of each event to review full operational plans.  
  • Communicate staff concerns, challenges, and event needs to leadership.  
  • Lead post-race debrief meetings with RDs and staff.


On-Site Activations & Sponsorships

  • Collaborate directly with leadership on execution plans for onsite activations.  
  • Communicate plans to ground crews to ensure fulfillment of partner agreements.


Permitting & Venue Contracts

  • Assist in procuring and negotiating new venue contracts.  
  • Obtain countersigned agreements, file contracts correctly, and communicate payment terms to Accounts Payable.  
  • Update launch documentation covering Active listings, website, Facebook, ads, and any site restrictions (e.g., exclusives).


Logistics

  • Maintain accurate and up-to-date brand movement and kit-split documents.  
  • Provide complete shipping information for medals, event shirts, merchandise, equipment/parts, and sponsor deliveries.  
  • Conduct or coordinate site visits (personally or via experienced RDs) as required.  
  • Ensure RD maps are created, accurate, filed, and shared for online posting.  
  • Perform post-event venue follow-up to confirm expectations were exceeded and secure rebooking for the following year.


Insurance & Financials

  • Submit accurate event information to the insurance provider and distribute Certificates of Insurance (COIs) to required parties.  
  • Verify that RDs obtain a minimum of three quotes for each rental line item and correctly input all costs into designated documents.  
  • Communicate venue payment details to Accounts Payable.


Consumables

  • Ensure all consumables (event shirts, medals, foam, color, cups) are entered within 12 hours of event completion.  
  • Coordinate replenishment with the appropriate departments.


New Concepts & Event Production

  • Collaborate with relevant departments to implement new event concepts.  
  • Plan and execute approximately 10 events annually.  
  • Maintain all documentation in the proper locations as directed.


Preferred Qualifications

  • Proven experience in event management, brand management, or related operations roles.  
  • Strong organizational skills with attention to detail in logistics, contracts, and documentation.  
  • Excellent communication and relationship-building abilities for working with RDs, staff, venues, and internal teams.  
  • Ability to manage multiple events simultaneously while meeting strict timelines (including 30/60/90-day milestones).  
  • Familiarity with permitting, insurance processes, vendor negotiations, and basic financial tracking.  
  • Willingness to conduct site visits and support on-site activities as needed.
