Executive Assistant

Job Description

The Executive Assistant provides high-level administrative support to the President. This role requires discretion, responsiveness, excellent communication skills, and a proactive mindset. The ideal candidate possesses exceptional critical thinking skills, a relentless pursuit of effectiveness, and a passion for elevating lives through impactful initiatives.

Responsibilities

  • Manage and maintain the executive's calendar, coordinating internal and external meetings.
  • Organize logistics for leadership meetings, including agenda preparation, meeting notes, and follow-ups.
  • Maintain executive correspondence by opening, sorting, filing, and distributing mail and email appropriately.
  • Prepare reports, presentations, and documentation as requested.
  • Process and track expense reports and liaise with accounting on behalf of the executive.
  • Handle confidential materials and information with professionalism and discretion.
  • Assist in planning and executing internal events, training, and celebrations.
  • Support special initiatives and projects as assigned, focusing on improving efficiency and communication.
  • Assist the executive in the completion of reports, correspondence, documentation, and expense reports.
  • Track and provide statistical data as needed by the Executive.
  • Take on special projects as needed.

Essential Skills

  • Bachelor’s degree in business, project management, or related subject area.
  • 3 or more years of experience in A/E contracting, design, and construction.
  • Proficiency in BQE and Microsoft Office Suite.

Additional Skills & Qualifications

  • Industry experience is a plus but not necessary.
  • Experience with an ATS System.

Work Environment

This position will be in an open office work environment. The role requires on-site presence with opportunities to engage in various projects and events, promoting a collaborative and dynamic work atmosphere.

Job Type & Location

This is a Contract to Hire position based out of Charlotte, NC.

Pay and Benefits

The pay range for this position is $24.00 - $28.00/hr.
