What does a bookkeeping independent do?

A bookkeeping independent, often called an independent bookkeeper, is a self-employed professional who manages financial records for businesses or individuals. Their main tasks include recording transactions, reconciling accounts, preparing financial statements, and ensuring that all financial data is accurate and up to date. Unlike in-house bookkeepers, they typically work on a contract or freelance basis and may serve multiple clients at once. Independent bookkeepers help businesses stay organized and compliant with financial regulations, often working remotely or on a flexible schedule.

What are the key skills and qualifications needed to thrive as a bookkeeping independent, and why are they important?

To thrive as a Bookkeeping Independent, you need a solid understanding of accounting principles, attention to detail, and experience with maintaining accurate financial records, often supported by a degree or certificate in accounting or bookkeeping. Familiarity with accounting software such as QuickBooks, Xero, or Sage, and knowledge of spreadsheet tools like Microsoft Excel, are typically required. Strong organizational skills, integrity, and the ability to communicate financial information clearly help set successful professionals apart. These skills ensure accurate financial tracking, regulatory compliance, and trust with clients or employers.

What are some typical challenges faced by independent bookkeepers, and how can they be managed effectively?

Independent bookkeepers often face challenges such as managing multiple clients with varying needs, staying updated on changing tax laws, and maintaining accurate records under tight deadlines. To manage these effectively, it’s important to establish clear communication channels with clients, use reliable accounting software to streamline processes, and regularly invest time in professional development. Many independent bookkeepers also find success by setting structured workflows and maintaining a disciplined schedule to balance workload and prevent errors.

Job description

About the Role

We're hiring a Bookkeeper to keep the financial side of Hassle Free Home Services accurate, current, and closed on time.

This is a broad seat covering the full transaction cycle (payables, receivables, reconciliations, payroll) plus compliance work most bookkeeping roles never touch: state registrations, trade licenses, tax filings, and employee records across every market we operate in. You'll work directly with our accountant and CFO, with little duplicated by anyone else, so you'll understand how this business actually runs.

The work is detailed and repeats monthly. If you can't leave a reconciliation half-finished and would rather file early than on deadline, you'll fit in.

What You'll Do

Accounting & Bookkeeping

  • Maintain the general ledger in QuickBooks: record and code daily transactions and maintain the chart of accounts
  • Perform monthly bank, credit card, and merchant account reconciliations
  • Manage accounts payable and accounts receivable, including invoicing, payment application, and collections follow-up
  • Track job-level costs to support project profitability reporting
  • Support the monthly close and year-end preparation with the accountant, CFO, and outside CPA

Payroll & Timekeeping

  • Review employee timesheets for accuracy and completeness ahead of payroll processing
  • Research and resolve variances, including unapproved overtime and unbilled hours
  • Administer PTO tracking, accruals, and year-end carryover
  • Maintain payroll deductions and employee records, including benefit deductions and garnishments

HR & Benefits Administration

  • Process new hire documentation, employment eligibility verification, and state agency registrations
  • Coordinate travel and hotel bookings for out-of-state new hires
  • Administer benefits enrollment, annual open enrollment, and related compliance reporting
  • Process terminations, including final pay and benefits termination
  • Coordinate the annual performance review cycle and track approved compensation changes

Compliance, Licensing & Insurance

  • Maintain business registrations and state tax accounts, including setup in new jurisdictions
  • Track and renew business and trade licenses ahead of deadlines
  • Prepare and file recurring returns, including sales and use tax, annual reports, and Forms 1099
  • Support the annual insurance audit and maintain certificates of insurance
What We're Looking For
  • 3+ years of bookkeeping experience
  • Working knowledge of the full accounting cycle: accounts payable, accounts receivable, reconciliations, and month-end close
  • Exceptional attention to detail. This is a core requirement.
  • Proficiency in QuickBooks and Microsoft Excel
  • Experience with payroll processing and benefits administration
  • Familiarity with multi-state tax registrations, licensing, and compliance filings, or the aptitude to learn them quickly
  • Ability to manage recurring deadlines independently, with minimal supervision
  • Discretion handling confidential financial and employee information, and clear, professional communication
