These skills and qualities ensure accurate financial records, compliance, and efficient business operations.

Is AI replacing bookkeepers?

However, bookkeepers are still needed for tasks requiring judgment, analysis, and understanding of complex financial situations, making the role evolving rather than entirely replaced.

What are some common challenges bookkeepers face when managing accounts for multiple clients or departments?

Bookkeepers who handle accounts for multiple clients or departments often encounter challenges such as keeping financial records organized, maintaining accuracy across varied account structures, and meeting different reporting deadlines. They must be adept at managing time efficiently and using accounting software to track separate ledgers without errors. Regular communication with clients or department heads is crucial to clarify transactions and resolve discrepancies promptly. Staying updated on compliance requirements and adapting to each client's unique needs also adds complexity, but proactive organization and strong attention to detail help bookkeepers succeed in this dynamic environment.

Job description

DISCO32 is a fast-growing, veteran-owned business building mission-critical communication equipment (headsets, PTTs, antennas) that military and law enforcement personnel depend on in the real world. We are a lean, high-performance organization with a truly international reach. We don't have layers of corporate management or red tape. We move fast, build great gear, and depend on a modern digital stack to punch well above our weight class globally.

We are seeking a tech-savvy, highly organized Finance & Office Administrator to own the financial and administrative operations of our Aberdeen, NC facility.

This role is for an operational builder, not just a data entry clerk. We need a professional who can run day-to-day financial operations to high standards today while building the backend infrastructure for significant corporate scaling.

Direct Impact & Future Leadership: You will report directly to the Owner. Your financial precision will directly influence company cash flow and global scaling capacity. As DISCO32 continues its rapid expansion, you will have the opportunity to step into leadership and build out your own administrative and finance team.

Key Responsibilities

Financial Operations & Bookkeeping

  • Build, refine, and run daily financial workflows, internal controls, and documentation protocols.
  • Maintain accurate bookkeeping, ledger entries, revenue recognition, and financial records.
  • Manage full-cycle Accounts Payable / Accounts Receivable and reconcile daily global sales from our Shopify e-commerce storefront with core accounting software.
  • Partner with the inventory/production team to ensure raw material expenses and purchase orders integrate accurately into our cloud-based MRP system.
  • Provide clear, timely executive financial reporting, including overhead, operational costs, and monthly cash flow metrics.
  • Keep records audit-ready and coordinate seamlessly with our external CPA for tax preparation and year-end closeouts.

Payroll & HR Administration (via Gusto)

  • Own the complete payroll lifecycle using Gusto, ensuring accuracy in hours, compensation, and tax withholdings.
  • Manage company healthcare benefits and 401(k) match program directly in Gusto.
  • Handle digital onboarding for new team members and maintain compliant personnel files as the facility grows.

Office Operations & Workspace Collaboration

  • Master Google Workspace (Gmail, Drive, Docs, Sheets) to maintain company documentation and build clear administrative processes.
  • Proactively leverage digital tools and generative AI (Grok, Gemini, or similar) to summarize data, draft memos, optimize workflows, and document operations.

Required Skills & Qualifications

  • Proven experience managing day-to-day financial operations for a business.
  • Strong working knowledge of bookkeeping principles (GAAP familiarity preferred).
  • Growth mindset with leadership potential — able to eventually hire, train, and lead an administrative/finance team.
  • High comfort with modern cloud tools: Shopify, Gusto, Google Workspace, and accounting/MRP software (rapid learner welcome).
  • Tech-forward and AI-comfortable — excited to use tools that help you work smarter and faster.
  • Associate’s or Bachelor’s degree in Business, Accounting, Finance, or equivalent professional experience.
  • Absolute discretion and integrity when handling financial data, banking access, and personnel information.
  • Must successfully pass a comprehensive criminal background check and professional credit check (required for fiduciary responsibilities).

What We Offer

  • Competitive Salary: $50,000 – $70,000+ based on qualifications and experience.
  • Comprehensive Benefits: Healthcare benefits package (BCBSNC).
  • Retirement: 401(k) plan with company match (Safe Harbor).
  • Paid Time Off and paid holidays.
  • Schedule: Monday – Friday, standard daytime hours at our local Aberdeen facility.
  • Unparalleled Impact: Direct reporting line to ownership in a flat, collaborative organization where your contributions have immediate, visible effects on our international success — with real room to grow into a leadership role.
