Accounting Administrative Assistant Job Summary

We are looking for an Accounting Administrative Assistant to provide support to our accountants. You will field phone calls and emails, process and file paperwork (electronic management of files) and maintain relationships with our Clients and Vendors. Organizational skills for cloud based structure, systems and scheduling is a key function for this roll. When necessary, you may also assist with payroll and accounts reconciliation. We prefer candidates who have experience in accounting, degree or certifications are a plus, but we are in need of someone who has extensive administrative experience.

This position requires excellent communication, organizational, and time management skills.

Accounting Administrative Assistant Duties and Responsibilities

Answer phones and emails from clients and vendors

Setting up and maintaining cloud based Structure. Systems and scheduling.

Managing several time critical client deadlines.

Create regular AR and AP reports

Send out invoices and settle accounts with vendors

Maintain files of bills and invoices

Accounting Administrative Assistant Requirements and Qualifications

Bachelor’s degree in accounting (preferred) not necessary

Administrative office experience

Excellent organizational and communication skills

Bookkeeping experience preferred

A typical Day in the Virtual Office (currently primarily Virtual)

Your typical duties will include managing our company calendar, coordination of deadlines, using accounting and MS Office software to complete work assignments, assisting customers and general office duties.

Must be detail oriented and have exceptional organizational skills Intermediate knowledge of Word and Excel and cloud based files, folders and able to scan and save documents Maintain confidentially.

Requirements: AA or certificate in Accounting, or 3+ years of previous proven accounting experience Ease at using QuickBooks and/or basic accounting for A/R, A/P, data entry, bank reconciliation, payroll including State and Federal taxes and processes

Lakeshore Consulting became 90% remote and yet still managing Paper, which in hindsight, we should have pivoted to paperless sooner. Our goal is to establish and maintain a comparable cloud based filing structure. We have great clients with a variety of business types and enjoy supporting them in their business goals.
