Role Overview

We are seeking a highly organized and detail-oriented Full Charge Bookkeeper to manage our day-to-day financial operations and office administration. In this dual role, you will serve as the backbone of our office, seamlessly handling end-to-end bookkeeping while providing essential administrative support. The ideal candidate is a proactive self-starter who takes pride in maintaining immaculate financial records.

Key Responsibilities

Bookkeeping & Accounting (90%)

  • Full-Cycle Accounting: Manage all day-to-day Accounts Payable (A/P) and Accounts Receivable (A/R) functions.
  • Payroll: Process payroll accurately and on schedule using Evolution software.
  • Reconciliations: Reconcile bank accounts, credit cards, and loan accounts.
  • Financial Reporting: Prepare and maintain financial statements, daily transaction journals, and supporting documents.
  • Invoicing & Cash Flow: Process invoices, issue vendor payments, and collaborate with the Accounts Manager to follow up on outstanding client receivables.
  • Expense Management: Accurately track, audit, and categorize company expenses.
  • Tax Prep: Assist in the internal review of accounts and coordinate directly with our external CPA for annual tax filings.

Administrative & Office Support (10%)

  • Office Coverage: Serve as a welcoming primary point of contact for the office, answering calls, greeting visitors, and managing general correspondence as needed.
  • Correspondence: Draft professional letters and communications to customers and vendors.
  • Filing Systems: Maintain clean physical and digital filing systems, ensuring sensitive documents remain secure and organized.
  • Mail: Handle daily pickup and sorting of inbound mail.

Qualifications & Skills

  • Experience: Minimum of 5 years of proven experience as a Full Charge Bookkeeper.
  • Software Proficiency: Strong working knowledge of QuickBooks Desktop, QuickBooks Online, and Microsoft Office Suite (Word, Excel, Outlook).
  • Technical Skills: Comfortable with technology and possess a willingness to utilize/learn Adobe Acrobat (Standard/Pro, not just Reader).
  • Organization: Exceptional time-management skills with the ability to multitask and prioritize effectively in a busy environment.
  • Communication: Clear, professional written and verbal communication skills.
  • Discretion: High degree of integrity and the ability to handle confidential financial and personal information with total tact.
  • Education: Associate or Bachelor’s degree in Accounting or Business Administration is preferred, but equivalent hands-on experience is highly valued.
