The Warranty Booker plays a critical role in ensuring accurate and timely booking of repair orders across multiple dealership locations. This position requires attention to detail, strong communication skills, and the ability to work efficiently with both technicians and dealership staff.


Responsibilities

  • Manage Xtime screens for all stores to book repair orders in real time.
  • Review repair order documentation to ensure complaint, cause, and correction (3 C’s) are complete and properly supported.
  • Verify technician comments for accuracy, including mileage, test drives, and customer-facing notes.
  • Confirm required manufacturer approvals and goodwill information are included when applicable.
  • Ensure technician punch times are properly recorded and reasonable compared to flat rate times.
  • Review labor operations for unnecessary or overlapping work; confirm correct labor times are flagged.
  • Verify all test/diagnostic results and ensure supporting details are documented.
  • Check that all referenced parts are billed correctly on repair orders.
  • Communicate clearly with dealership staff using Xtime chat or email, including relevant store/RO/line information.

Qualifications

  • 0-2 years of experience
  • Strong attention to detail and ability to follow manufacturer-specific requirements.
  • Ability to interpret technician comments and repair documentation.
  • Professional written and verbal communication skills.
  • Comfortable working in a fast-paced environment with multiple systems and deadlines.
  • Prior warranty, service, or dealership experience preferred but not required (training provided).
