Job Description:

At BNO, the Project Manager is the hub in the BNO delivery process, managing omnichannel projects and interfacing with the Account Manager, clients, partners, and the creative team assigned to each project. Some or all of these parties may work outside the walls of BNO; it is therefore critical that the Project Manager appropriately represent BNO in a way that is consistent with the BNO brand and the BNO ethical code.

The BNO Project Manager is responsible for developing programs for existing clients, ensuring each program aligns with the program concept and is on time and on budget. The Project Manager is the primary interface for the creative team and is responsible for managing all aspects of the delivery team, including deliverables, timelines, budgets, and handoffs to the Account Manager and/or the client. Project Managers must also maintain a strong working relationship with the Account Manager and appropriate client contacts to ensure seamless delivery and outstanding client service.

Job Summary:

This job requires a high degree of detail-orientedness and skill in coordinating tasks while upholding the highest standards of quality and accuracy. Success in this role demands drive, determination, and a self-disciplined approach to achieving results that meet or exceed established criteria. While the pace of work is faster than average, quality is never compromised. The position requires specialized technical problem-solving abilities, creative ingenuity within approved organizational systems and technologies, and a strong commitment to integrity, quality, and thoughtful risk management. The ideal candidate will proactively identify areas for improvement, pushing for alignment with processes while maintaining the flexibility to adapt to meet the evolving needs of clients and stakeholders.  

The BNO Project Manager's responsibilities include:

  • Develop and maintain project timelines, ensuring that all milestones are communicated and met by the team and the client.
  • Conduct regular team meetings and review project deliverables with team to ensure adherence to program brief and concept.
  • Manage project scope with both the development team and the Account Manager/client. Track team hours to ensure the project remains on budget, within the timeline, and scope.
  • Develop and maintain positive working relationships with all members of the team, ensuring that project concerns are proactively addressed and communicated to the account team when necessary and team morale is not negatively impacted.
  • Develop and maintain positive, mutually beneficial relationships with all client contacts, including all those who work with and support the client within their company or their agencies.
  • Develop a working understanding of the client's overall brand marketing plan, therapeutic category, and/or marketing objectives so ensure alignment of program deliverables.

The Project Manager is accountable for the following core project tasks:

Create estimates for new or proposed projects 

Create Project Plan and review with internal team(s)

Manage resources to obtain availability and estimates based on SOW (ensure that estimates are of the appropriate level of detail to enable management of the budget based on task-level percent completion)

Manage the project timeline, budget and resources to ensure timely completion of all deliverables as well as identify and manage scope changes

Manage project folder on the server, storing SOWs, estimates, and other project artifacts

Document, track, and manage all project issues and risks, escalating when required.

Review project financials and provide bi-weekly updates, including current month projection/actual and forecast for the coming quarter

  • Set up and prepare weekly status reports for the client and partners

  • Review project plan, percent complete projections, project forecasts, and other project artifacts with the account team and senior leadership

  • Ensure that the account team is fully aware of the budget status relative to work completed and work remaining 

  • Notify the account team of changes in scope that require a change order, and work with the account team by providing details (description and costs) to be included in the project change order

  • Review BNO Process with external vendors and resources; including but not limited to:

    • BNO deliverable review process (internal, client and med-legal)

    • BNO standard creative templates including Site Architecture Document, Storyboards/Concepts, Style Guide, Manuscript Template, Reference Guidelines (including sample reference annotations)

  • Review all deliverables to ensure completion of assignments and incorporation of feedback

  • Notify project team members (internal/external) immediately if a deliverable is not acceptable either due to quality or failure to adhere to BNO guidelines

  • Manage logistics and schedules for projects requiring off-site production or execution (for example: Events, Webinars, Video, etc.)

  • Some travel and on-location logistics management may be required for certain projects

  • Manage schedules, budgets and vendor partners for "offline" asset production where appropriate (for example: print materials in support of project initiatives)

Our ideal candidate has:

  • College degree

  • Minimum of 4-6 years of project management experience in an advertising agency 

  • Strong understanding of the production process across different channels including print, digital, and event-based projects

  • Excellent organizational skills and attention to detail

  • Passion to learn and understand the overall and drive outcomes for our clients. 

  • Experience working with and motivating remote team members 

  • Smartsheet or similar project planning tool experience required

  • Expertise with Microsoft Excel, Word, and Powerpoint required

  • Expertise working with Basecamp required.  

  • Experience with Workfront is preferred but not required. 

  • Strong communication (written, verbal, presentation) skills

  • Ability to multitask in a fast-paced environment
