Job Summary
The Advancement Data & Business Services Coordinator is responsible for maintaining the accuracy, integrity, security and effective use of the School's advancement data and systems, with primary responsibility for Blackbaud Raiser's Edge NXT. This position supports gift processing, donor and constituent record management, reporting, database administration, online forms, data integrations and Advancement operations. This position also provides administrative and operational support to the Business Office.

What You Will Do:
Gift Processing & Donor Stewardship:
Serve as the primary point of contact for donor inquiries related to gifts, payments, receipts, acknowledgements and giving records.
Accurately process and record gifts, pledges, matching gifts, stock gifts, payments, event fees and other revenue through blackbaud Raiser's Edge NXT and integrated merchant services.
Ensure gifts are accurately coded, allocated, documented and processed in a timely manner.
Generate and distribute donor acknowledgement letters, tax receipts, pledge reminders, and other stewardship communications.
Ensure gift documentation and acknowledgement practices comply with applicable IRS substantiation requirements and School policies.
Partner with Accounts Receivable to reconcile gifts and ensure proper fund allocation and audit-ready documentation
Assist with gift-in-kind and other non-cash gift processing and documentation as appropriate.
Database Management & Data Integrity:
Serve as the primary administrator for Blackbaud Raiser's Edge NXT and maintain a high level of knowledge regarding system functionality, updates, and best practices
Maintain accurate constituent records, including biographical information, relationships, giving history, attributes, contact information, and communication preferences
Establish, document and maintain database standards, policies, procedures, and best practices.
Perform regular data audits, quality-control reviews, and data cleanup to maintain database integrity
Identify and resolve duplicate records, data inconsistencies, coding issues, and other data-quality concerns.
Manage data imports and exports from third party platforms and ensure imported information meets established data standards.
Maintain the security and confidentiality of donor, alumni, parent and constituent information.
Ensure appropriate user access and permissions within Raiser's Edge NXT.
Systems Management & User Support:
Serve as the primary liaison with Blackbaud and other Advancement technology vendors.
Monitor system updates, new functionality, and changes that may affect Advancement operations.
Provide training, guidance and technical support to Advancement staff and other authorized Raiser's Edge users.
Manage user access, permissions, and system security in accordance with School policies.
Support integrations between Raiser's Edge NXT and other School systems, including Google Workspace, event registration platforms, payment processing systems and other third-party applications.
Design, build and maintain online Advancement forms, including donation and event registration forms.
Provide database logistical support for Advancement events, including registration, attendance tracking, payment reconciliation and post-event reporting.
Develop and maintain documentation, procedures, and training resources for Advancement systems and data processes.
Identify opportunities to streamline workflows, improve data quality, reduce manual processes, and increase efficiency through technology and automation.
Cross-Departmental Advancement Support:
Collaborate with Advancement staff to support fundraising campaigns, annual appeals, events, stewardship initiatives, alumni communications, and other Advancement activities.
Collaborate with the Communications Office on constituent segmentation, mailing lists, data exports, and campaign execution.
Collaborate as needed to improve data sharing, reporting workflows, and visibility across School systems.
Serve as a resource to colleagues on constituent data, database processes, reporting, and system capabilities.
Business Office Operations Support:
Provide administrative and operational support to the Business Office.
Serve as a point of contact for routine Business Office inquiries and direct questions to the appropriate staff member when necessary.
Provide administrative support to the CFO and Director of Human Resources.
Create new employee files, weekly filing, document management, recordkeeping, and other Business Office administrative functions.
Assist with financial and administrative data entry and documentation as assigned.
Support the Business Office with the organization and maintenance of records and documentation.
Assist with internal requests, communications, and routine administrative tasks.
Provide additional operational support during periods of increased Business Office activity.
Additional Responsibilities:
Maintain the highest standards of confidentiality and discretion when handling financial, donor, student, family, employee, and institutional information.
Stay current with applicable technology, database practices, data security standards, and regulatory requirements.
