We are seeking an experienced Billing Coordinator to join our New Jersey office. This role is responsible for supporting the firm's billing operations by ensuring accurate and timely invoicing while maintaining exceptional service to both internal and external clients.


Key Responsibilities:

  • Prepare, review, and finalize client invoices in accordance with firm policies and client-specific billing requirements.
  • Process and manage electronic billing submissions through various e-billing platforms.
  • Verify the accuracy of billable time, expenses, and supporting documentation prior to invoice distribution.
  • Partner with attorneys, legal support staff, and other departments to resolve billing issues and discrepancies.
  • Respond to client inquiries related to invoices, account balances, and payment status.
  • Process billing adjustments and write-offs in accordance with established policies.
  • Handle complex billing arrangements, including split-party billing, multiple discount structures, and electronic invoice preparation.
  • Manage a high volume of monthly billing activity while meeting established deadlines.
  • Develop and maintain customized billing formats and templates as needed.
  • Prepare recurring billing reports and assist with financial reporting for management.


Qualifications:

  • Minimum of 3 years of billing experience within a law firm or professional services environment.
  • Experience with legal billing systems such as Elite 3E, Aderant, or comparable accounting software.
  • Strong proficiency in Microsoft Office applications, particularly Excel.
  • Exceptional organizational skills with the ability to prioritize competing deadlines.
  • Strong attention to detail and commitment to accuracy.
