Job Description:

Our client is seeking an organized and dependable Operations Administrative Assistant to join their team in Dripping Springs, TX on a contract-to-hire basis. This role provides administrative and operational support within a fast-paced commercial construction environment by coordinating project documentation, maintaining organized records, and assisting project teams with daily operations. The ideal candidate is detail-oriented, adaptable, and thrives in a deadline-driven setting. This position offers the opportunity to transition into a permanent role based on performance and business needs.

Key Responsibilities:

  • Prepare and maintain subcontractor purchase orders and billing schedules using construction management software.
  • Process, track, and distribute subcontractor change orders through the approval process.
  • Review, code, and route subcontractor invoices using the company's document management system.
  • Monitor subcontractor work orders and maintain accurate project documentation.
  • Organize and maintain electronic project files and shared documentation.
  • Update project schedules, reports, and spreadsheets using Microsoft Excel.
  • Coordinate incoming project correspondence and ensure documentation is routed to the appropriate team members.
  • Provide administrative support to Project Managers and operations leadership.
  • Assist with general office responsibilities, including filing, answering phones, data entry, and document preparation.
  • Complete additional administrative and operational tasks as needed to support business objectives.

Qualifications:

  • High school diploma or equivalent required.
  • Associate's or bachelor's degree preferred but not required.
  • Three to six years of administrative experience in the construction industry.
  • Strong written, verbal, and interpersonal communication skills.
  • Excellent organizational and time management skills with the ability to prioritize multiple deadlines.
  • Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat.
  • Experience with construction accounting or project management software is preferred.
  • Experience with electronic document management systems is a plus.
  • Active Notary Public certification is preferred but not required.
