Job description

Front Desk & Administration Assistant

We are looking for a highly motivated and energetic Front Desk & Administration Assistant to handle the general administrative support including the reception area. An ideal candidate should be hands-on, detail-oriented, friendly, enjoy interacting with people, capable of multi-tasking, and work effectively under pressure. Routine duties include front lobby reception services, office supply replenishments, business travel planning and booking including visa applications, reimbursement requests, vendor invoice review and processing, corporate apartment management, and occasional executive support.

Qualifications:

  • Education: AA/BA degree
  • Experience: Minimum of 1 years of Administrative Support experience is preferred, suitable candidates without prior experience would be considered as well.
  • Language: Proficiency in English, Mandarin is a plus

Responsibilities:

  • Responsible for ordering, receiving and dispatching office supply and equipment.
  • Responsible for ensuring that the front lobby is in compliance with all systems, control policies and procedures.
  • Office equipment inventory control management
  • Interact with guests who have appointments, inquiries, or meetings with employees of the company
  • Distribute incoming mail and prepare outgoing mail/package.
  • Process business traveling arrangement, hotel reservation, airport pickups, corporate housing management.
  • Supervision of housekeeping and janitorial controlling, ensure the front office is clean and safe.
  • Utilize knowledge of company operations, procedures, policies, and departmental functions in performing duties with minimum direction/supervision.
  • Interface with various levels of management, customers, suppliers and employees to exchange information and take appropriate action promptly and effectively.
  • Provide executive support to employees when needed.
  • Bilingual in Mandarin or Vietnamese is preferred.
