Job Title: Administrative Assistant (Banking/Financial Services)

Bilingual in Japanese Preferred

Location: New York, NY 10172
Pay Rate: $36.22/hr W2
Duration: 6 months with possible extension
Work Arrangement: 100% Onsite – 5 days per week

 

Job Description

We are seeking an organized and detail-oriented Administrative Assistant to provide administrative support and ensure the efficient operation of the team. This role will support managers and colleagues through a variety of organizational, administrative, and communication-related activities.

 

Responsibilities

  • Process team expenses, including submission and management of reimbursement requests and tracking and payment of expenses.
  • Arrange and book business travel, client meetings, customer events, conference calls, and conference rooms.
  • Answer phones and provide general administrative support for the desk.
  • Handle ad hoc administrative projects and tasks as requested.
  • Interact with internal and external stakeholders, including the Japan affiliate, Nikko Tokyo, on various requests.
  • Provide day-to-day support to managers and team members while maintaining a high level of professionalism and confidentiality.
  • Manage multiple priorities and ensure timely follow-up and completion of assigned tasks.

 

Qualifications

  • Strong written and verbal communication skills with the ability to communicate effectively across all organizational levels.
  • Bilingual Japanese/English language skills preferred.
  • Proficiency in Microsoft Office Suite.
  • Experience with Concur preferred.
  • Excellent organizational skills with the ability to multitask and prioritize competing deadlines.
  • Strong attention to detail and commitment to quality work.
  • Takes ownership of responsibilities and can be relied upon to follow through and resolve day-to-day issues using sound reasoning and problem-solving skills.
  • Highly collaborative and flexible in a team and client-facing environment.
  • Ability to build and maintain strong professional relationships.
  • Must be comfortable working onsite 5 days per week.
