Position Summary

We are seeking a highly organized and results-driven Office Manager to oversee and ensure smooth day-to-day operations at the Bears Academy training facility. This role is key to ensuring efficient administrative operations, office coordination, and seamless support for all training activities at Bears Academy.

Essential Duties & Responsibilities

  • Administrative & Office Operations
    • Manage day-to-day office operations
    • Maintain office supplies, equipment, and training materials
    • Coordinate facility maintenance and vendor relationships
    • Coordinate emergency preparedness and facility procedures
    • Assist with regulatory and safety requirements to ensure compliance with company safety standards
    • Manage office budgets, invoices, purchase orders, and expense tracking
  • Training Coordination & Support
    • Schedule classes and training activities at Bears Academy
      • Responsible for Technician Fundamental cohorts; creating the annual schedule and enrolling new employees into the appropriate cohort based on hire date
      • Schedule or help support the scheduling of travel and logistics to attend training
    • Support the registration and enrollment process
    • Ensure materials are prepared for each class (print, bound, and available)
  • Bears Academy Support
    • Serve as the primary point of contact for employees, trainees, trainers, and visitors
    • Respond to training inquiries and coordinate scheduling requests
    • Assist managers with scheduling and logistics
    • Handle visitor check-in and facility access procedures
  • Event & Program Support
    • Plan and coordinate training events, workshops, orientations, and other company events
    • Arrange catering, lodging, transportation, and meeting logistics, as needed
    • Support graduation ceremonies, recognition events, and leadership visits
  • Lodging & Transportation Support
    • Manage training fleet trucks
      • Coordinate training fleet trucks pickup and drop-offs
      • Generate work tasks for maintenance
      • Coordinate maintenance on training fleet trucks, as needed
    • Manage man camps
      • Coordinate cleanings and laundry
      • Assign rooms and distribute keys/codes, for Bears Academy visitors
  • People & Team Support
    • Coordinate communications and announcements
    • Assist leadership with presentations, reports, and special projects
    • Foster a positive and professional learning environment

Education, Experience, & Training

  • 5+ years of experience in office management, administrative leadership, or corporate services
  • Bachelor's degree in Business Administration, Management, or related field (preferred)
  • Strong organizational, leadership, and interpersonal skills
  • Time management and the ability manage multiple concurrent projects and activities
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office Suite

Physical Demands

  • Required to sit for long periods of time,as needed
  • Ability to work occasionally long or irregular hours
  • Travel requirements, occasional for team meetings
