Summary

The Logistics Specialist is responsible for analyzing and ensuring accuracy of outgoing shipments, batch processing labels and reporting through various software. This position will ensure shipping and inventory labels are created accurately and consistently and will assist in development and implementation of processes that will help drive efficiency throughout the organization.

Essential Duties/Responsibilities

  • Point of contact for outgoing distributions, including generating package labels, and other necessary documentation.
  • Analyzes, organizes and formats data using Microsoft Excel.
  • Batch processes labels in various label software along with FedEx Ship Manager, UPS WorldShip and ERP software programs.
  • Processes, releases and manages outbound sales orders in Microsoft Dynamics 365 Advanced Warehouse (D365 F&O), ensuring order accuracy, correct shipping instructions and timely execution.
  • Validates order data in D365 F&O, including item details, quantities, ship-to information, freight terms, and delivery methods to shipping and label generation.
  • Collaborates and communicates with logistics, sales, and production departments along with outside vendors regarding logistics requirements for each project.
  • Runs daily reports, and files shipping records.
  • Ensures data accuracy and integrity by cross-referencing information and performing regular data audits.
  • Coordinates with third-party logistics providers and suppliers to schedule and manage inbound and 3rd party shipments, ensuring timely delivery and adherence to delivery windows.
  • Assists Logistics Director in special projects as needed.
  • Coordinates and updates software systems.
  • Updates logistics processes and SOPs for all logistics locations.
  • Ensures all software and workstations are in sync and aligned.
  • Reviews freight invoices for accuracy, including charges, rates and terms, ensuring they match purchase orders, sales orders and contracts.
  • Performs other duties as assigned.

  • Follows all safety and workplace policies.

Competencies and Skills

  • Ability to efficiently enter, update, and process logistics-related data within the ERP system, ensuring accurate records for order tracking and shipping schedules.
  • Clear and concise communication with internal teams.
  • Extreme attention to detail: Precision in analyzing data processing work.
  • Ability to prioritize tasks and meet deadlines.
  • Advanced Excel skills, including working with VLOOKUP, CONCAT and pivot tables.
  • Proficiency in using ERP systems (such as Microsoft Dynamics or other ERP platforms) to manage logistics is a plus.
  • International shipping experience is a plus, including familiarity with export documentation, commercial invoices, customs requirements an coordination with freight forwarders or international carriers.
  • Knowledge of process improvement and SOPs.

Education/Certification

  • 2 years technical/business degree in logistics or supply chain management or equivalent.

Experience

  • Advanced knowledge of FedEx Ship Manager, UPS WorldShip and Microsoft Office Products.
  • Minimum of 3 years of experience in logistics or supply chain management.

Physical Requirements and Working Conditions
