What is a bank conversion specialist?

Bank Conversion Specialists are professionals who manage and oversee the process of transitioning a bank's data, systems, or software from one platform or provider to another. They play a critical role in ensuring that all customer information, financial records, and operational systems are migrated smoothly and securely, often during mergers, acquisitions, or system upgrades. Their responsibilities include project planning, data validation, staff training, troubleshooting, and post-conversion support to minimize disruption and maintain service quality. Bank Conversion Specialists work closely with IT teams, vendors, and bank staff to ensure compliance with regulations and to address any technical or operational challenges that arise. Their expertise helps banks maintain continuity and protect sensitive financial data throughout complex transitions.

What are some common challenges faced by bank conversion specialists during large-scale system transitions?

Bank Conversion Specialists often encounter challenges such as coordinating across multiple departments, ensuring data integrity during migrations, and minimizing downtime to avoid disruptions to banking services. They must also address user training needs and adapt quickly to unexpected technical issues that may arise during the conversion process. Successful specialists are proactive communicators and problem-solvers, working closely with IT teams, project managers, and end-users to ensure a smooth transition.

What are the key skills and qualifications needed to thrive as a bank conversion specialist, and why are they important?

To thrive as a Bank Conversion Specialist, you need expertise in banking operations, project management, and data migration, often supported by experience in financial services or IT and a relevant degree. Familiarity with core banking systems, data conversion tools, and software like SQL and Excel, as well as certifications in project management (such as PMP), are typically required. Excellent communication, problem-solving, and organizational skills help manage client expectations and ensure a smooth transition process. These skills are essential to minimize disruption, ensure data integrity, and facilitate the successful implementation of new banking systems.

Job description

Job Description:

Computer Services, Inc. (CSI), through its Hawthorn River solution, is seeking a Loan Conversion Specialist to support loan origination software implementations, data conversions, and technical troubleshooting. This position will work primarily behind the scenes, partnering with customers and internal teams to ensure loan data is accurately mapped, validated, transformed, and loaded into the Hawthorn River platform.

This is a technical, data-focused role rather than a software engineering or traditional project management position. The ideal candidate will combine knowledge of loan origination processes with hands-on experience using SQL, reviewing structured data files, analyzing system logs, troubleshooting configurations, and documenting findings. While this individual will communicate with financial institution customers when needed, they will not serve as the primary customer contact throughout the implementation.

What You'll Do

  • Support data conversions and technical activities for Hawthorn River loan origination software implementations.

  • Review source data received from core banking systems, loan origination platforms, and third-party vendors.

  • Map source data fields to Hawthorn River's standardized conversion specifications.

  • Use SQL to review, reconcile, validate, and transform loan data.

  • Analyze CSV, fixed-width, XML, JSON, and other structured data files to identify formatting issues, missing values, and discrepancies.

  • Validate that source fields align with target-system requirements before data is loaded into Hawthorn River.

  • Investigate rejected, missing, or improperly translated data and document the cause and resolution.

  • Review system and integration logs to identify configuration, connectivity, and data-flow issues.

  • Troubleshoot file-based and API-driven integrations in partnership with implementation, product, support, and engineering teams.

  • Assist with data transformations, including field translations, supplemental file processing, and loan account number changes.

  • Use SQL, Python, or other scripting tools when appropriate to improve the efficiency and accuracy of conversion activities.

  • Support testing, data validation, user acceptance testing, go-live activities, and post-conversion issue resolution.

  • Maintain thorough documentation of data mappings, conversion decisions, validation results, identified issues, and resolutions.

  • Communicate technical findings clearly to customers and internal stakeholders when conversion or configuration issues require additional information or action.

  • Develop a strong understanding of the Hawthorn River platform, its data requirements, integration capabilities, and loan origination workflows.

  • Collaborate closely with implementation, product, support, and technical teams to ensure successful customer conversions.

  • Manage assigned conversion tasks and priorities across multiple implementations.

What We're Looking For

  • Two or more years of experience in data conversion, technical implementation, systems integration, banking operations, fintech, or a related field.

  • Working knowledge of loan origination processes, including application, evaluation, approval, documentation, closing, and funding.

  • Hands-on SQL experience involving data review, validation, reconciliation, or transformation.

  • Experience working with structured data files, such as CSV, fixed-width, XML, or JSON.

  • Understanding of data conversion activities, including source-to-target mapping, field-level transformation, validation, and exception handling.

  • Ability to read system or integration logs and use the information to troubleshoot technical issues.

  • Experience reviewing configurations and identifying dataflow, formatting, or connectivity problems.

  • Strong analytical and problem-solving skills with close attention to data accuracy.

  • Excellent documentation, organization, and follow-through.

  • Ability to explain technical findings to both technical and non-technical audiences.

  • Strong written and verbal communication skills.

  • Ability to work independently while collaborating effectively with cross-functional and customer-facing teams.

  • Ability to manage multiple assignments and changing priorities in a remote environment.

Preferred Qualifications

  • Experience supporting a loan origination system or other lending technology.

  • Experience with core banking system conversions or integrations.

  • Practical knowledge of banking or lending operations.

  • Experience working with loan data from a financial institution, core provider, or third-party vendor.

  • Familiarity with file-based and API-driven integration methods.

  • Experience using Python or another scripting language to automate data review or transformation activities.

  • Exposure to data migration, data quality, or conversion reconciliation processes.

  • Educational background in computer science, information systems, data analytics, finance, banking, or a related discipline.

What Will Help You Succeed

  • You are comfortable investigating issues and working through logs, data files, and system configurations to determine what went wrong.

  • You understand that accurate documentation is an essential part of successful data conversion.

  • You can connect technical data requirements with real-world loan origination processes.

  • You enjoy detail-oriented work and can identify when a field, value, or record does not align with the expected result.

  • You communicate clearly and professionally when additional information is needed from a customer or internal stakeholder.

  • You are interested in using SQL, scripting, or automation to make repeatable data work more efficient.

  • You are comfortable contributing behind the scenes while playing an important role in the success of customer implementations.
