Job description

We are looking for an Office Services Associate to support daily reprographics, office operations, and meeting services in Washington, District of Columbia. This Long-term Contract position is ideal for someone who takes pride in delivering accurate work, maintaining confidentiality, and creating a detail-oriented experience for internal teams and guests. The role combines hands-on document production, hospitality support, and operational coordination in a fast-moving corporate environment.
Responsibilities:
• Operate high-volume document production equipment to scan, copy, print, assemble, and bind business materials with a strong focus on accuracy and discretion.
• Distribute confidential files and completed materials promptly while following established handling procedures and quality standards.
• Prepare conference and meeting spaces by arranging furniture, confirming room setup requirements, organizing catering support, and ensuring shared areas remain presentation-ready.
• Support basic audio/visual readiness for meetings and help reset rooms efficiently after events or service requests are completed.
• Maintain service logs and tracking records to monitor incoming requests, turnaround times, and completion status for office support activities.
• Coordinate daily assignments by evaluating priorities, managing competing deadlines, and keeping leadership informed of workflow concerns or service interruptions.
• Perform routine troubleshooting on office equipment, check finished output for quality, and escalate technical issues when additional support is needed.
• Restock paper, toner, kitchen items, and other operational supplies while using materials responsibly to help maintain uninterrupted service.
• Provide responsive customer support across office service functions, including document handling and general back-office assistance in a detail-oriented setting.• High school diploma or equivalent required.
• At least 1 year of experience in office services, print support, mailroom, or a similar administrative operations role; experience in a legal, banking, or large corporate setting is preferred.
• Ability to manage confidential documents and sensitive information with sound judgment and professionalism.
• Strong communication, organization, and time-management skills with the ability to balance multiple requests in a deadline-driven environment.
• Demonstrated customer service skills and the ability to build positive working relationships with employees, guests, and cross-functional teams.
• Comfortable standing and walking for much of the workday, supporting operations across multiple floors, and occasionally lifting or moving materials up to 50 pounds as needed.
• Self-directed, dependable, and solution-oriented, with the ability to identify issues, resolve routine problems, and escalate concerns appropriately.
• Familiarity with document scanning, reprographics support, mailroom or office services processes, and multi-line phone coverage is helpful.
