Role Description
We are seeking a highly organized and detail-oriented Logistics Coordinator whom will support our logistics and supply chain operations. In this role, you will assist in coordinating shipments, communicating with suppliers and forwarders, data entry, documentation management, and basic bookkeeping. You will also help maintain accurate records, track costs, and support compliance with industry regulations. This is a hands-on, fast-paced role ideal for someone who enjoys variety, takes initiative, and thrives on keeping systems and information accurate and up to date.
Compensation: $21 - $30/hour (DOE)
Responsibilities:
- Assist in the coordination of logistics operations, including shipments, deliveries, and storage.
- Prepare and verify shipping and customs documents (commercial invoice, packing list, B/L, AWB, ISF, 7501, etc.)
- Monitor and communicate with suppliers, forwarders, clients, and internal teams to resolve logistical issues and ensure seamless operations.
- Perform data entry into company systems, spreadsheets, and databases to maintain accurate shipment records, tracking information, and logistics documentation.
- Maintain accurate records of all shipments and deliveries, and production and order status's to ensure proper documentation and compliance.
- Assist with customs clearance processes, tariff classification (HTS codes), and duty/tax coordination
- Monitor and track transportation costs, providing reports on key metrics and identifying areas for improvement.
- Ensure compliance with customs regulations, company policies, and industry standards.
- Assist in handling customer inquiries and resolving any delivery-related issues in a timely manner.
- Support basic bookkeeping activities in QuickBooks, including data entry of vendor invoicing, verification and expense organization.
- Provide general administrative support and assist with ad hoc projects as assigned.
Qualifications:
- Associateโs degree in business administration, supply chain management, accounting, finance or related field.
- 1-3 years of experience in logistics and supply chain operations, specifically with international shipments.
- Knowledge of supply chain procedures, international shipping regulations and customs procedures.
- Experience managing and reviewing shipping documents (commercial invoice, packing list, B/L, AWB, ISF, 7501, etc.)
- Reads and interprets emails accurately, and communicates clearly and professionally to teams and vendors.
- Self-motivated individual who takes initiative, identifies gaps and issues, and comfortable working independently with minimal guidance.
- Quickly assesses situations, makes sound decisions, recognizes priorities, and takes appropriate actions to keep workflows on track.
- Meticulous attention to detail and ability to stay organized while managing multiple tasks and priorities across departments.
- Basic proficiency with spreadsheets (Excel, Google Sheets).
Preferred:
- Bilingual in English and Chinese (Mandarin or Cantonese)
- Prior experience in a manufacturing, importing, or trading company.
- Familiarity with freight forwarding and transportation cost analysis.
- Experience using Quickbooks or other similar accounting software.
