Position Overview
We are seeking a psychologically-minded, flexible, and empathic team member to serve as the Intake Coordinator with excellent interpersonal skills and the ability to be responsive, clear, validating and assertive as needed with a wide range of personality types and prospective clients.
The Intake Coordinator plays a vital role in assessing fit with prospective patients and ensuring a positive and organized entry point for all fitting new members of our practice. It involves a balance of client-facing support, behind-the-scenes administrative and data entry tasks, and ongoing collaboration with clinical and administrative staff at Aviva. The Intake Coordinator is the first point of contact for new clients and will determine fit with our team and guide clients from initial outreach to scheduling their first session.
This full-time position requires availability during the business hours of 9 AM to 5 PM. The role is fully remote, with the option to work hybrid in our Boston or Northampton, MA offices.

Responsibilities
Intake & Client Communication
- Manage all incoming inquiries from prospective clients via phone, email, or web form.
- Provide timely, clear, and compassionate communication to individuals seeking care.
- Serve as a confident and kind leader for clients through 20-minute structured phone consultations to assess fit with practice and facilitate assignments or refer-outs as fitting.
- Efficiently integrate information to make quick decisions to facilitate clinical fit based on client needs and clinicians’ interests/skills.
- Use outstanding clinical intuition to feel confident both making and communicating decisions about clinical fit to clients, staff, and clinicians.
- Support clients in understanding practice policies and procedures.
- Be highly responsive to client and staff questions and clinical assignments. Consistently track and follow up until loops are closed.
Administrative & Billing Tasks
- Perform data entry into the electronic health record (Simple Practice) for client intake and billing purposes.
- Verify insurance benefits for new and existing clients.
- Support the Administrative Coordinator and leadership with additional projects and tasks as needed.
Team Collaboration
- Get to know clinical staff well to facilitate fitting client assignments. Attend weekly staff meetings and break out rooms to learn different staff members’ clinical and interpersonal styles.
- Work closely with clinicians to ensure smooth onboarding and continuity of care for clients.
- Identify and escalate complex issues to appropriate team members.
- Communicate effectively and maintain professional boundaries.
