Job description

Job Description:

The Senior Project Manager will provide project management support during all phases of HVAC construction to ensure project standards, budget, deadlines and communications are maintained.

Safety

Manage Safety Compliance and foster a culture of safety:

  • Conduct regular site walkthroughs and inspections to proactively identify risks
  • Ensure full site safety compliance by overseeing all required safety activities, including site-specific safety plans, audits, toolbox talks, and pre-task planning
  • Maintain proficiency in Industry Safe and reinforce safety best practices across all teams

Scope

Document Control and Review:

Review, organize, and distribute contract documents (drawings, specifications, schedules, RFIs, Construction Bulletins, etc.) and shop drawings/submittals to appropriate team members (e.g., project team, subcontractors, fabrication shop, and vendors)

  • Maintain accurate logs and ensure all documentation is tracked and up to date
  • Draft, submit, and actively track RFIs and corresponding responses to keep projects moving forward
  • Attend field coordination meetings and clearly communicate outcomes through detailed meeting notes
  • Administer project-specific quality control programs and compile all required documentation
  • Maintain and update progress drawings and as-built drawings throughout the project lifecycle
  • Manage project closeout documentation, including O&M manuals, startup reports, training, and punch lists
  • Review and interpret project documents, proactively identifying and communicating questions or issues

Manage Scope of Work:

  • Identify scope changes early, develop pricing, and negotiate change orders to protect project success and profitability

Schedule

Basic Schedule Management and Field Resources:

  • Provide accurate duration and task input to support development of the overall project schedule
  • Develop and communicate short-term schedules to general contractors and subcontractors
  • Review project schedules regularly and provide feedback to keep timelines on track
  • Create and manage weekly/bi-weekly work plans that drive project progress
  • Adjust work plans as needed and communicate changes effectively to all stakeholders
  • Collaborate with manpower coordinators to forecast, plan, and manage labor needs
  • Actively participate in weekly manpower and labor coordination meetings

Procurement Management & Coordination:

  • Maintain and update equipment procurement logs to ensure visibility and accountability
  • Manage and track tool and equipment rentals to optimize cost and efficiency
  • Order equipment and coordinate shipping schedules with the Purchasing Department to align with project timelines

Cost

Estimation:

  • Collaborate with suppliers, vendors, and subcontractors to develop accurate and competitive estimates
  • Prepare detailed estimates using estimating software
  • Participate in pre-bid, page turn, project turnover, and preplanning meetings
  • Assist in preparing clear and comprehensive scope/proposal letters

Financial Management:

  • Track and report labor productivity weekly using accounting software while leading PDCA improvement efforts
  • Monitor and communicate project financial status, including risks and opportunities
  • Ensure all cost changes are captured and communicated across subcontractors, vendors, and suppliers
  • Manage project billings to ensure accuracy, timeliness, and positive cash flow
  • Proactively address collection issues, including lien rights and customer communications
  • Prepare for and lead monthly PM reviews, clearly presenting financials, progress, and key updates

Relationship & Sales

Develop, Build & Maintain relationships:

  • Build strong, lasting relationships with key clients, including owners and general contractors

Support Sales Process:

  • Develop industry relationships to support future project opportunities and sales growth
  • Represent the company at customer events and outings
  • Communicate company capabilities and value to potential clients for future work and change orders
  • Support division sales goals and actively manage key accounts

Other tasks & duties

  • Support additional responsibilities as required, adapting to project needs and priorities

What we're looking for in you

  • Associate's degree in a technical field required
  • Bachelor's degree in a technical field preferred
  • 8+ years of Construction Project Management experience
  • 8+ years of experience in the building & construction industry
  • 8+ years of experience with mechanical systems
  • Ability to read and comprehend construction documents
  • Knowledge of design techniques, tools, and principles
  • Strong understanding of business administration and management principles, including:
    • Company operations and financials
    • Business finance
    • Customer relations
    • Business development and project sales strategies
    • Legal aspects of the construction industry
  • Proficiency in Microsoft Office Suite
  • Experience with estimating software
  • Familiarity with accounting/project & labor management systems
  • Knowledge of computer-aided design software
  • Experience with project management software (e.g., MS Project, MS SharePoint, Procore, etc.)
  • Advanced sales and marketing skills
  • PMP certification a plus
  • OSHA 30 certification a plus
  • LEED accreditation/knowledge a plus

$105,507.61 - $158,261.42
