Job description

We are seeking a reliable and customer-focused Automotive Assistant Service Advisor to support our service department. In this role, you will be the first point of contact for our customers, providing exceptional service by assisting with appointment scheduling, answering inquiries, and coordinating vehicle service needs. Your attention to detail and communication skills will help ensure a smooth and efficient customer experience.


Key Responsibilities:
  • Answer incoming customer calls in a prompt, courteous, and professional manner.

  • Schedule service appointments and confirm details with customers.

  • Assist with greeting customers in the service drive and gathering vehicle information.

  • Support service advisors by preparing repair orders and updating customers on service status.

  • Maintain accurate customer records and service history in the dealership management system (DMS).

  • Coordinate vehicle pickup and drop-off logistics, including shuttle services or loaner cars.

  • Follow up with customers post-service to ensure satisfaction and address any concerns.

  • Communicate with technicians to relay customer concerns and understand repair needs.

  • Help manage the daily service schedule to ensure optimal shop productivity.

  • Perform administrative tasks such as filing, data entry, and printing service documents.

  • Maintain cleanliness and organization of the service reception area.


Qualifications:
  • High school diploma or equivalent; automotive or administrative experience preferred.

  • Excellent communication and interpersonal skills.

  • Strong organizational and multitasking abilities.

  • Ability to remain calm and professional in a fast-paced environment.

  • Basic computer skills and familiarity with scheduling software or dealership management systems.

  • Valid driver’s license with a clean driving record.


Work Environment:
  • This position requires working in both an office setting and occasionally in the service drive or garage area.

  • May require standing for extended periods and some light physical activity.
