Job description

Summary:
UNC Hospital's Department of Audiology provides comprehensive diagnostic and therapeutic hearing services for inpatient and outpatient populations, with several sites specializing in pediatric care from infancy through adolescence.
We are seeking thoughtful, hardworking candidates for our new Audiology Infant Coordinator role, which serves as the primary liaison for managing and triaging infant hearing referrals while ensuring compliance with state newborn hearing screening (NBHS) requirements and supporting timely follow-up for infants at risk of hearing loss.
Core responsibilities include coordinating referrals with hospitals and community providers; reviewing clinical records and referral work queues; completing parent intake; scheduling repeat screenings, diagnostic ABRs, ENT evaluations, and related specialty care; providing family education; conducting screenings as needed; and managing case coordination tasks such as transportation, housing resources, or funding programs. The role also involves tracking all follow-up steps after identification of hearing loss, supporting NC EHDI reporting and quality initiatives, participating in staff training, monitoring NICU and outpatient scheduling demands, and assisting with program improvement efforts.
The ideal candidate brings strong experience in clinical chart review and care coordination, such as nursing or social work, along with excellent communication skills and the ability to manage complex referral pathways in a pediatric healthcare environment.
Responsibilities:
1. Acts as liaison between UNC Pediatric Audiology and community partners to facilitate infant audiology referrals (i.e., local nursery discharge staff, pediatricians, other audiologists and management and audiology professionals in the community.
2. Collaborates with management to ensure optimal efficiency throughout the infant referral process and coordinates oversight and training of newborn nursery hearing screening program staff in tandem with supervising audiologist.
3. Monitors the pediatric audiology referral work queues and assign the correct type of audiology appointment using multiple streams of information, including NC Hearing Link public health web portal, discharge summaries, referral scans, Care Everywhere, and the general EMR. Review previous Audiology and ENT records in Epic to assess pre-existing relationships with a provider.
4. Completes parent intake by phone or email and schedules of infants for repeat screening and diagnostic natural sleep ABR visits. Serves as a backup for triaging and scheduling other URGENT audiology referrals. Schedules co-located ENT evaluation as needed.
5. Makes natural sleep ABR reminder calls and schedule American Sign Language interpreters for infant audiology appointments when necessary.
6. Performs hearing screenings as needed in the outpatient setting. Corresponds with primary care providers and infant caregivers in regards to repeat screenings, referrals for diagnostic testing, refusals for testing, and education regarding hearing screenings and hearing loss.
7. Acts as the primary listed contact in Pediatric Audiology's public facing materials for families and other providers and General case management for infant audiology appointments (Medicaid transportation, Ronald McDonald House referrals, applying for hearing aid funding programs).
8. Tracks follow-up referrals and appointments after the initial identification of early hearing loss, including: Imaging, Repeat ABR (as needed), First behavioral evaluation, Hearing aid fitting, SLP evaluation (after six months), Pediatric Genetics, Medical clearance for hearing aids, UNC Children's Cochlear Implant Center referrals and appointments.
9. Manages the tracking of UNC NICU infants who do not pass the newborn hearing screening and ensures outpatient follow is scheduled. Reconciles risk factor referrals and scheduling for infants who do pass the screening but require follow up at 9 months. Tracks and investigates trends in infant referrals (e.g., increased volume from specific cities, erroneous referrals) and reports findings to leadership.
10. Initiates outpatient appointment in the EMR and Hearing Link and submits reported results into Hearing Link. Converts unfilled outpatient appointment templates to newborn hearing re-screening or diagnostic appointments as needed based on referral volumes and timing.
11. Communicates with North Carolina EHDI regarding program staff changes, compliance and participation in EHDI Program site visits
12. Submits all state mandated infant screening and follow up data daily to the state EHDI program via Hearing Link for quarterly and annual EHDI Quality Assurance reporting. Responsible for contributing to the quality of hearing screening program, monitoring quality metrics from EHDI and implementing necessary changes for improvement. Meet annually with the NC EHDI representatives to review program guidelines and quality measures.
13. Coordinates diagnostic ABRs to take place in the NICU when appropriate, in tandem with audiology clinicians who cover this service line.
14. Monitor the sedated MRI/ABR schedule for late cancellations and work with Pediatric Sedation team to fill empty slots from a waitlist.
15. Track hearing aid technology donations in children who receive cochlear implants.

Professional Experience Requirements:
• One year experience working as a licensed RN or equivalent clinical or care coordination experience in pediatric healthcare may substitute.

• Ability to document clinical information.
• Ability to effectively communicate information and respond to questions from patients, physicians, family members, and other staff.
