Description
Under the general supervision of the Parks & Recreation Manager, the Athletic Coordinator plans, organizes, and oversees youth and adult athletic programs, leagues, tournaments, camps, and special events. This position coordinates athletic facility scheduling, registrations, coaches, officials, and volunteers while providing administrative support through budgeting, purchasing, reporting, marketing, and customer service.
Position to be filled on or after September 28th
Examples of Duties
  • Plan, organize, coordinate, and evaluate youth and adult athletic leagues, tournaments, camps, clinics, and recreational programs.
  • Manage program registration, team formation, scheduling, coach recruitment, coach training, uniforms, and equipment distribution.
  • Coordinate league schedules, game officials, volunteers, and seasonal staff.
  • Develop new athletic and recreational programming based on community needs.
  • Monitor participation levels and recommend program improvements.
  • Coordinate scheduling and use of athletic fields, gyms, courts, and recreational facilities.
  • Assist with facility rentals, tournaments, and special events.
  • Evaluate field conditions and coordinate with Parks Maintenance staff to ensure facilities are safe and playable.
  • Conduct routine inspections of athletic facilities and equipment.
  • Assist in developing maintenance priorities with Parks staff.
  • Serve as the primary contact for coaches, participants, volunteers, officials, parents, and the public.
  • Resolve customer concerns and complaints in a professional and timely manner.
  • Build relationships with local schools, youth organizations, neighboring municipalities, and community partners.
  • Assist with community outreach and promotional events.
  • Maintain accurate records, reports, registrations, inventories, and program statistics.
  • Assist with preparing and monitoring athletic program budgets.
  • Monitor revenues and expenditures.
  • Prepare purchase requests and maintain inventory of athletic supplies and equipment.
  • Develop reports and recommendations for departmental improvements.
  • Assist with long-range planning for athletic facilities and programs.
  • Maintain the department's athletic website and online registration system.
  • Develop promotional materials, flyers, newsletters, and social media content.
  • Communicate schedules, cancellations, weather updates, and program information to participants.
  • Serve as Site Supervisor for games, tournaments, special events, and athletic activities.
  • Coordinate evening, weekend, and holiday operations as required.
  • Ensure events are operated safely, efficiently, and professionally.
  • Perform manual labor related to athletic operations, including lifting equipment, setting up fields, moving goals, and event preparation.
  • Attend professional development opportunities and maintain required certifications.
  • Perform other duties as assigned.

Typical Qualifications
  • High School Diploma or GED and a minimum of two (2) years of experience coordinating recreational sports, athletics, or community recreation programs required. An Equivalent combination of education, training, and experience may be considered.
  • Bachelor's Degree in Parks & Recreation, Sports Management, Recreation Administration, Physical Education, or a related field is preferred.

WORKING CONDITIONS:
  • Frequently reaching, sitting, standing, walking, talking, seeing, and hearing.
  • Frequently lifting and carrying up to 40 pounds during event preparations.
  • Work is typically performed in both a standard office and outdoor environments, with potential exposure to adverse weather conditions.
  • Required to work some weekends and after-hours events.
