Job description

Administrative Assistant – Housing Programs

We are a New York City–based real estate company specializing in affordable housing and government-assisted housing programs, including NYCHA, HPD, and CityFHEPS. We are seeking a detail-oriented and highly organized Administrative Assistant to support day-to-day office operations related to our housing programs. The ideal candidate has hands-on experience with NYCHA, HPD, and CityFHEPS processes, is comfortable preparing and managing leases and housing-related paperwork, and thrives in a fast-paced real estate environment.

In this role, you will prepare, review, and process residential leases, lease renewals, and lease amendments in accordance with NYCHA, HPD, and CityFHEPS program requirements. You will manage tenant files and ensure all documentation is complete, accurate, and audit-ready, including income verifications, program applications, and recertification paperwork. You will coordinate with government agencies to submit voucher packages, process housing inspections, and resolve compliance issues. You will also serve as a point of contact for tenants, landlords, case workers, and government agencies regarding lease status, paperwork submissions, and program inquiries. Additional responsibilities include scheduling and tracking housing inspections, maintaining organized digital and physical filing systems, assisting with rent calculations and subsidy tracking, and supporting the property management team with general administrative tasks.

The ideal candidate has a minimum of 2 years of administrative experience in real estate, property management, or affordable housing, with demonstrated knowledge of NYCHA, HPD, and CityFHEPS housing programs. Strong familiarity with residential lease agreements and related legal documentation is required. Proficiency in Microsoft Office Suite and property management software such as Yardi or RentManager is expected. Excellent organizational skills, strong communication abilities, and the ability to handle sensitive information with discretion are essential. A high school diploma or GED is required, and an Associate's degree or higher is preferred. Bilingual English/Spanish is a plus. Experience working directly with NYC government housing agencies, familiarity with HUD regulations, and Notary Public certification are all preferred qualifications.
