Pay: 23.50 - $30.79 Hourly
Job Responsibilities: What you will do
The Swift Charities Program Coordinator provides administrative and program support for Swift Charities and serves as a primary point of contact for employees and their families throughout the charitable assistance process. This role coordinates Employee Assistance, Community Grant, Scholarship, and related programs while ensuring compassionate service, confidentiality, accuracy, and timely communication. The Program Coordinator collaborates with employees, families, Board and committee members, Terminal Leaders, Charity Ambassadors, community organizations, and internal departments to administer programs, prepare grant requests for review, maintain records, and support charitable initiatives that advance the mission of Swift Charities. May be required to attend occasional evening or weekend events as needed.
  • Serve as a primary point of contact for employees, applicants, nonprofit organizations, and internal stakeholders regarding program eligibility, processes, and deadlines.
  • Identify and resolve participant inquiries and issues by providing compassionate, professional service and ensuring timely follow-up and problem resolution.
  • Facilitate grant, scholarship, and assistance fund review processes by scheduling meetings, preparing materials, documenting decisions, and communicating next steps.
  • Maintain accurate, audit-ready records, databases, and documentation for charitable programs and community involvement activities.
  • Coordinate Board and committee meetings, including scheduling, preparation of materials, maintaining records, tracking membership, and follow-up.
  • Partner with Payroll, Benefits, Human Resources, and other departments to support employee assistance and charitable programs.
  • Communicate professionally and effectively with employees, families, Board members, community leaders, charitable organizations, and other stakeholders.
  • Coordinate and support Community Grant activities, volunteer programs, community service projects, charitable events, and local giving initiatives.
  • Provide training, resources, and program information to terminal personnel and Charity Ambassadors.
  • Assist in developing and improving program processes, technology solutions, forms, and communications.
  • Collaborate with Marketing and provide stories that highlight the impact of Swift Charities programs and initiatives for social media and communication channels.
  • Support communications, outreach efforts, and stakeholder engagement related to events, campaigns, and organizational initiatives.
  • Build and maintain positive relationships with donors, volunteers, community partners, and other key stakeholders.
  • Prepare reports and program-related documentation as requested.
  • Proactively work to assist others in achieving the organization's objectives.

Qualifications: What you need to bring
  • 2+ years experience as an administrative support or related position required.
  • Previous experience in non-profit preferred.
  • Must be self motivated, detailed and task oriented, and able to manage multiple priorities and deadlines.
  • Must be able to maintain strict confidentiality and handle sensitive information with discretion.
  • Must possess exceptional professionalism, discretion and empathy when supporting individuals facing sensitive or difficult situations.
  • Must be proficient with Microsoft Office suite.
  • Must possess excellent problem-solving and decision-making abilities.
  • Must be able to work independently and escalate issues appropriately.
  • Must possess exceptional customer service and be fully engaged with the mission of Swift Charities.
  • Associate's degree, or equivalent combination or education and/or experience required.
  • Bachelors degree preferred.

Pay Range: $23.50 - $30.79 Hourly
