Job Title: Program Coordinator
Department: Project Management Office (PMO)
Reports To: Sr Technical Program Manager and/or Sr Director PMO
Program Coordinator Summary:
Are you an organizational mastermind who thrives on keeping complex projects moving smoothly? Do you love being the "go-to" person who connects the dots between teams, vendors, and clients? We are seeking a highly organized, proactive Program Coordinator to serve as the operational hub for our regional programs and markets. In this role, you will own day-to-day project logistics, administrative execution, and tracking across the entire project lifecycle-from initial setup to final invoicing. By keeping critical details from falling through the cracks, you will drive consistency, efficiency, and accountability, enabling our leadership team to focus on strategic growth and customer outcomes.
Program CoordinatorDuties and Responsibilities:
Project Initiation & Setup
    • Get Projects Moving: Own the initial job setup and quote creation within our Field Service Tracking (FST) system.
    • Coordinate Kickoffs: Schedule and manage project kickoff calls with key stakeholders.
    • Compliance & Readiness: Collect and track critical documentation, including Certificates of Insurance (COIs), permits, and contractor Purchase Orders (POs) to ensure sites are 100% ready for construction.
    • Timeline Management: Build and maintain projected project timelines using data-driven formulas, adjusting schedules dynamically based on feedback from functional leads.

Communication & Team Accountability
    • The Central Hub: Act as the central Point of Contact (POC) for all job-related correspondence.
    • Drive Execution: Follow up diligently with internal teams, vendors, and subcontractors on open action items, late deliverables, and outstanding requests.
    • Keep Teams Aligned: Support recurring project meetings, maintain active trackers, and issue reminders to keep everyone on schedule.
    • Leadership Support: Step in to provide operational coverage and support during Market Manager or team member absences.

Active Project Execution
    • Track the Details: Maintain real-time project schedules, milestone updates, and FST digital job folders
    • Logistics Coordination: Coordinate site access, site walks, DAS integrators, and vendor schedules
    • Material Tracking: Track long-lead materials and collaborate with vendors to ensure timely parts ordering, inventory tracking, and shipments
    • Contract Review: Review contracts against initial quotes to ensure accurate pricing, scope, billing/Schedule of Values (SOV), and bond requirements
    • Field Updates: Gather daily and weekly updates from field teams, prompting them in real-time for required test results, photos, and compliance documentation

Financials & Closeout
    • Streamline Invoicing: Facilitate seamless billing processes, including managing Sales Orders, Vendor PO requests, and lien releases
    • Project Closeout: Track Closeout Packages (COP) and compile compliance reporting to ensure quick, accurate financial closure on all jobs

Position Requirements
Program Coordinator Qualifications:
  • Education: High School Diploma/GED required
    • Associate's or Bachelor's degree in Business, Project Management, or a related field preferred
  • Experience: 2-4 years of experience in project coordination, program administration, or operations support
    • Experience in telecommunications, construction, utilities, or field service industries is highly preferred

Program Coordinator Competencies:
  • Technical Skills: Proficiency with project management or ERP systems (FST experience is a major plus). Strong skills in MS Excel or Smartsheet.
  • Financial Literacy: Basic understanding of operational finance processes, including Purchase Orders, invoicing, Schedule of Values (SOV), and lien releases.
  • Organizational Skills: Ability to manage high volumes of paperwork, milestone dates, and moving parts without losing attention to detail.
  • Communication Skills: Ability to send clear, concise updates and be comfortable with holding both subcontractors and internal team members accountable to deadlines.
  • Technical Skills: Ability to easily navigate project management software and spreadsheets to accurately track data. Additionally, experience with Gmail and other Google applications is preferred.
