Job Title: Coordinator - International
Location: New York, NY
Type: Contract
Overview
Provide administrative support to the SVP of License & International Strategy, their direct team, and total International team as needed, inclusive of the coordination of International Market Week
Responsibilities
  • Provide administrative support to the SVP of License & International Strategy, including managing calendars, scheduling meetings across multiple time zones, and coordinating international market week activities.
  • Manage travel arrangements, prepare detailed itineraries, handle visa processes, and oversee the international travel budget with oversight from the Senior Manager - International Operations.
  • Prepare presentations and communication materials for internal and external business partners, update confidential reports, and handle proprietary information with discretion.
  • Manage notes and action items for weekly and monthly leadership meetings, town halls, and other key events.
  • Coordinate International Market Weeks, including logistics, catering, and bookings.
  • Manage Zipline International user access, setup, troubleshooting, and building guest access with security.
  • Support senior leaders with administrative tasks such as IT tickets, onboarding, meeting room bookings, and supplies procurement.
  • Assist with flexible hours as needed to accommodate travel and international collaborations.

Requirements
  • Associate's or Bachelor's degree or equivalent experience required
  • 5+ years supporting executive leadership in a high-touch environment preferred
  • Experience managing extensive international travel schedules and visa applications
  • Familiarity with expense systems such as Concur & Ariba or similar platforms
  • Strong organizational, analytical, prioritization, interpersonal, and problem-solving skills
  • Excellent verbal and written communication abilities
  • Proven ability to work effectively in a multicultural environment
  • Collaborative team player with the ability to adapt in a fast-paced setting
  • Self-motivated with attention to detail, deadlines, and reporting
  • High proficiency with Google Workspace and Internet applications
