Associate Vice President (AVP), Finance - Grants

PURPOSE OF POSITION: To provide financial oversight and coordination across the Finance team. Focusing on the management of grants awarded to and administered by United Way of Summit & Medina. This role will be critical in ensuring compliance in reporting and accounting, according to relevant grant agreements and the Office of Management and Budget Circular No. A-122. The AVP of Finance - Grants will also ensure that appropriate technology and associated software systems are in place to accurately track and report grant activity and budget performance. Together with the CFO, Controller, and the AVP of Finance - Grants will be responsible for ensuring the accuracy and completeness of the organizationโ€™s periodic grant reporting and maintaining adequate systems of internal accounting control and provide leadership to support and enhance the connections across the finance team and the day to day work.

ESSENTIAL JOB FUNCTIONS:

Grant Financial Oversight: Ensure all grants and awards are tracked and kept up to date in a master grant matrix available to Finance, Agency management, and fund development personnel. Maintain original grant contracts, agreements, and award letters, both in hard copy and in a central electronic repository. Maintain primary responsibility for reviewing grant financial requirements and compliance supplements in order to assure accounting and reporting procedures meet applicable standards. Work with the Manager, Finance โ€“ Grants to maintain, improve, and adapt grant accounting to meet current and changing needs of grants. Work with Finance Managers and staff to meet grant billing deadlines. Grant Budgets: Work together with Manager, Finance โ€“ Grants and Manager, Grant Development, and program management, to build grant budgets for both proposal and reporting purposes and maintain primary responsibility for grant budgets. Maintain, improve, and adapt analyses to monitor grant financial performance to budget, ensuring funds are allocated and spent appropriately and in a timely manner.

Record Maintenance and Audits:

Maintain accurate and complete records of all grant accounting and reporting on a regular basis to prepare for annual financial audits and periodic audits and monitoring visits by grantors. Assume primary responsibility for the lead position in such audits, coordinating requests and documentation with financial and programmatic staff. Periodic internal audits of internal controls in cash disbursement and compliance related to grant spending. Staff Supervision: Day to day management of Manager, Finance - Grants.

NONESSENTIAL JOB FUNCTIONS:

Finance Department Cross-Utilization and Support: This position will serve as the back-up to the Manager, Finance โ€“ Grants and the VP, Controller during times when workflow is unusually high or when a team member is out of the office. This will require learning multiple roles and being able to perform them when called upon. Provide support to VP, Controller and CFO/COO on special projects as needed.

Engagement:

Participation and support in assigned engagement calendar events, marketing events, and related preparatory meetings.

QUALIFICATIONS:
  • Bachelorโ€™s degree in accounting, finance, or similar required.
  • 5 or more years of experience in grant accounting required.
  • 5 years of financial management, including supervision of staff, required.
  • Non-profit financial management experience preferred.
  • Advanced knowledge of Generally Accepted Accounting Principles (GAAP) and Financial Accounting Standards (FAS).
  • Competent in MS Office products.
