About the role
The Global Transmission and Commercial Analysis Americas are seeking a proactive and highly organized Business Administration Associate. The successful candidate will manage administrative processes from initiation through completion, work closely with internal stakeholders and external suppliers, and improve the efficiency and organization of the teams. This role offers broad exposure to an international energy business and opportunities to contribute to reporting, presentations, and process improvement.
Key Responsibilities
  • Create and manage purchase requisitions and purchase orders in SAP S/4HANA for consultants, technical studies, software, services, and other business needs.
  • Coordinate invoice processing, track payments, and resolve issues with suppliers, Procurement, Finance, and Accounts Payable.
  • Support contract execution by gathering information, completing standard templates, coordinating internal approvals, collecting signatures, and maintaining records.
  • Organize team off-sites, workshops, training sessions, and meetings, including venues, hotels, catering, transportation, schedules, and supporting materials.
  • Prepare and quality-check reports, spreadsheets, presentations, trackers, and other business documents.
  • Maintain organized files and records in SharePoint, Teams, and other internal systems.
  • Support employee onboarding, offboarding, travel, and other team administration activities.
  • Track open actions and deadlines and proactively follow up with the appropriate stakeholders.
  • Develop templates, checklists, and process improvements to make recurring activities more efficient.
  • Support the use of AI, automation, and digital tools for reporting, document preparation, and administrative workflows.
  • Perform other business and project-support activities assigned by the Global Transmission & Commercial Analysis management team.

Your powerful skills
  • Experience with purchase requisitions, purchase orders, invoices, supplier payments, or contract coordination.
  • Strong proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Strong organizational, communication, and problem-solving skills.
  • Proactive approach, strong attention to detail, and ability to independently manage multiple priorities.
  • Ability to understand the business context behind requests and take ownership of activities through completion.
  • Interest in learning new systems and using AI and automation tools to improve business processes.

Advantageous, but not essential
  • Bachelor's degree in business administration, finance, accounting, supply chain management, procurement, project management, or a related field preferred.
  • At least two years of relevant experience in business administration, procurement, financial administration, project coordination, or a similar role preferred.
  • Experience with SAP S/4HANA or another enterprise resource planning system preferred.
  • Experience organizing corporate meetings, workshops, training events, or team off-sites is beneficial.
  • Prior experiences in an international, energy, engineering, technical, consulting, or project-based environment is a plus.
