Job description

About this role:

Wells Fargo is seeking a highly motivated, dynamic individual to fill an Associate Executive Specialist role. Role is responsible for supporting Consumer Lending Operations Technology CIO and corresponding leadership team and will work collaboratively with the Chief of Staff and Administrative Assistance staff.


In this role, you will:

  • Provide end to end administrative support for multiple CIOs including:
    • Executive Routines: Meeting planning, notes taking, calendar management, forward looking travel schedule
    • Meetings: Organization of Staff Meetings, All Hands Meetings, in person and virtual Offsites, in office support such as order necessary office supplies, meeting rooms reservations, catering, mail sorting & delivery
    • Employee Engagement: Facilitation and organization of employee engagement activities and events, skip level meetings, internal communications (drafting memos, org announcements, writing & editing e-mails, preparing communications on the executive's behalf)
    • Financial: expense reports, invoices, Travel & entertainment budget tracking & management
    • Onboarding: assist with employees onboarding, request equipment & system access, complete I-9
    • Partnering with broader Chief of Staff Business Services team and assist with creating spreadsheets, managing databases, preparing presentations, generate workforce reports, maintain distribution lists
  • Provide a high level of professional support which includes a balance of more experienced level administrative work as well as ongoing ad hoc and project or business initiatives such as planning meetings, tracking deliverables and pulling routine reports
  • Provide subject matter expertise and interpretation of administrative procedures to less experienced staff
  • Provide administrative supervision and support to other managers within CIO organization
  • Interact with immediate Administrative Assistant team, functional area, and internal peers regarding routine administrative tasks
  • Support more experienced level leaders with daily administrative tasks and interact with more experienced leaders across the organization

Required Qualifications, US:

  • 6+ months of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education

Desired Qualifications:

  • Administrative support experience in banking or financial services or Financial Services Experience
  • Excellent verbal, written, and interpersonal communication skills
  • Advanced Microsoft Office (Word, Excel, Outlook and PowerPoint) skills
  • Concur experience preferred
  • Ability to execute in a fast paced, high demand, environment while balancing multiple priorities
  • Demonstrated ability to effectively support multiple senior leaders simultaneously, managing competing priorities with a strong sense of urgency, accuracy, discretion, and follow-through.
  • Ability to manage changing travel itineraries, accurately manage expense reimbursement, manage a busy calendar and appointments flawlessly
  • Effective organizational, multi-tasking, time management and prioritizing skills
  • Knowledge and understanding of business/executive travel planning
  • Strong analytical skills with high attention to detail and accuracy
  • Ability to work independently
  • Ability to manage and process reports, maintaining financial efficiencies and reducing costs

Pay Range

Reflected is the base pay range offered for this position. Pay may vary depending on factors including but not limited to demonstrated examples of prior performance, skills, experience, or work location. Employees may also be eligible for incentive opportunities.
