Job description

Under the direct supervision of the Database Manager (DBM), the Database Coordinator (DBC) is responsible for providing the highest quality of support to the Clubs Membership Coordinators and program staff, with an emphasis on data management and reporting. The DBC must demonstrate a strong personal commitment to the mission of Boys & Girls Clubs of Palm Beach County, Inc. and the ability to work effectively both independently and as part of a team. This position requires excellent organizational and communication skills (verbal and written), adaptability to change, and a solid understanding of BGCPBC’s membership procedures, operational procedures, and data systems.

The DBC will assist the DBM in monitoring organizational attendance, enrollments, and reporting. This includes maintaining accurate 21st Century Community Learning Center Programs (CCLC) attendance records in EZReports and providing ongoing guidance to Membership Coordinators, Program Coordinators, and Club Directors with new member enrollments. Additionally, the DBC will support the DBM with managing Club contracts with the Early Learning Coalition of Palm Beach County and the Palm Beach County Youth Services Department’s Summer Scholarship Program.

Key Roles (Essential Responsibilities):

  • Perform a variety of administrative and data entry tasks to support accurate and timely membership and attendance management.
  • Ensure efficient and accurate data collection by auditing Club staff’s use of (MyClubHub), EZReports; provide training and technical support, and data-driven insights as needed.
  • Offers ongoing support to Membership Coordinators with membership registration, attendance tracking, and reporting; provides on-site support when a Membership Coordinator is out.
  • Oversee daily member Program Attendance, ensuring accuracy and consistency across all Clubs.
  • Prepare and distribute weekly and monthly attendance reports, verifying data accuracy and assisting Membership Coordinators in resolving discrepancies prior to submission to FLDOE.
  • Prepare monthly Impact reports to support data-informed decision-making and organizational accountability.
  • Conduct periodic Club Membership Audits, including but not limited to:

o Club Membership Files

o Club Program Attendance

o MyClubHub and EZReports Scanning

o Sign In/Out Sheets

  • Regularly travel to all BGCPBC 21st CCLC and non-21st CCLC club sites to provide in-person support, training, and auditing.
  • Participate in the interviewing, onboarding, and training of new Membership Coordinators, Club Directors, and other program staff.
  • Attend and, when appropriate, lead staff meetings and training.
  • Other duties as they are assigned related to assessing the organization and programs.

Skills & Knowledge Required:

  • Bachelor’s associate degree from an accredited college or university.
  • Strong interpersonal, organizational, and communication skills.
  • Highly motivated team player with the ability to develop and maintain collaborative relationships with all levels within and external to the organization.
  • Proficiency in Microsoft Word, Excel, and Outlook, as well as experience using web-based data collection systems and other databases.
  • Knowledge of the Salesforce platform is a plus.
  • Problem-solving skills: When problems arise, MS must troubleshoot and resolve the problems.
  • Complete tasks timely and in a thorough manner.
  • Valid Florida driver’s license.
