Job description

Job Summary:
California Institute of the Arts is seeking an Associate Director, Database Administration to manage Advancement’s Salesforce CRM and related platforms. The role involves overseeing database integrity, providing user support, and developing strategies to enhance the software's capabilities for fundraising initiatives.
Responsibilities:
• Oversee the integrity of the database and maintenance of development data, implementing rules and automation as needed
• Manage the database and Sandbox environment including defining users, granting access and permissions, building and maintaining new fields and objects, modifying layouts, upgrades, and developing processes
• Lead Advancement Services team in developing database standards guide including policy and procedures
• Document processes, user permissions, customizations, etc. made in Salesforce
• Develop and facilitate end user training and support for Advancement.
• Detailed configuration and testing of CRM software upgrades
• Monitor system performance and identify problems that arise and respond in a timely manner to user-reported requests and errors
• Run clean up reports and dashboards to improve system data for better reporting and readability
• Manage Salesforce integrations not handled by a developer or partner, and monitor and test data integration systems and API endpoints
• Work with integrated applications, such as DocuSign, Apsona, Mailchimp, etc.
• Identify, install and maintain appropriate apps from the AppExchange for event management, mass email, document merge, etc. Salesforce integrations with other apps/systems. (Examples: Splash, Click and Pledge, Stripe, iWave)
• Manage and enhance the online Asana request system (Including data updates, report requests, etc.)
• Develop reports and queries based on Advancement needs and maintain standard reports. This includes but is not limited to fundraising tracking, metrics-based assessments, and audience segmentation
• Create and manage dashboards and data visualizations
• Cross-train in multiple aspects of Advancement team support
Qualifications:
Required:
• Experience with database administration required
• Experience working collaboratively with colleagues, donors, and volunteers
• Demonstrate strong organizational, written, and oral communication skills
• Think strategically and creatively and perform with expertise in order to support the advancement of CalArts
• Work with high level of self-motivation to proactively move multiple tasks forward while documenting and sharing progress, and meeting strict deadlines
• Have experience in donor database management and expertise in maintaining CRM systems
• Knowledgeable about best practices in Advancement Services
• Able to implement best practices to improve and reinforce business processes, ensuring effective time management and outcomes-based work performance
• Possess strong computer skills: Google suite, CRM databases, mail merges, presentation software, video integrated meeting systems, and digital event registration products
• Maintain confidentiality with regard to donor relations at all times
• Commit to serving diverse constituents in an environment that embraces inclusiveness, diversity, equity and access
• Collaborate effectively with a large team and attend to competing needs
• Work with coworkers to promote and maintain a positive work environment while supporting strategic partnerships and collaborative relationships across the CalArts campus
• Possess the emotional intelligence to interpret and act on emotions in themselves and others
• Utilize personal skills in dealing with people with diplomacy, tact, maturity
• Demonstrate grit by maintaining composure when things go wrong as well as a sense of humor to stay sane and keep a positive attitude no matter what happens
Preferred:
• Bachelor’s degree preferred
• Salesforce experience preferred
• Experience in a nonprofit fundraising environment
