Paws With A Cause is looking for an organized, detail-oriented, friendly person to join our Advancement team! The right person will be able to multi-task, handle shifting priorities, and stay organized! This is a Full-time, hourly position with 40 hours per week. Hourly rate is between $17-$20 commensurate with experience. Base hours are Mon-Fri 8:00am-4:30p. Position Summary

The Database & Advancement Assistant provides administrative and operational support to the Advancement team, with a primary focus on donor database management, gift processing, donor acknowledgements, and day-to-day department support. This role is ideal for someone who is highly organized, detail-oriented, and passionate about supporting fundraising efforts through accurate data management and exceptional customer service. 

The Database & Advancement Assistant plays an important role in ensuring donors receive timely, accurate, and meaningful communication while helping maintain the integrity of the organization's fundraising systems and records. 


Key Accountabilities:

  • Manage donor database
  • Lead gift entry
  • Advancement Team Admin

Essential Responsibilities

  1. Process and record donations accurately and in a timely manner, including online gifts, checks, and event revenue. 
  2. Maintain and update donor and constituent records within the fundraising database, ensuring data accuracy and integrity. 
  3. Prepare and distribute donor acknowledgements, tax receipts, and special donor notifications. 
  4. Provide administrative support to Advancement team leadership. This may include scheduling meetings, preparing materials, making travel arrangements, ordering and maintaining supplies, and coordinating calendars. 
  5. Respond professionally and courteously to donor inquiries by phone, email, and mail.
  6. Support fundraising events through administrative coordination, tracking sponsorships and auction items, and maintaining attendee records. 
  7. Maintain organized digital and physical filing systems and uphold confidentiality of donor information. 
  8. Other duties as assigned

Non-Essential Responsibilities

  1. Assist with donor research projects. 
  2. Handwrite donor thank-you notes and stewardship cards. 
  3. Participate in organization-wide events, volunteer activities, and other special projects as assigned. 

Supervision Received

  • Specific Direction - Follows established work procedures. Receives periodic checks for performance. Refers unique questions/conditions to immediate supervisor

Requirements

Education & Experience

  1. High school diploma or GED required; associate or bachelor's degree preferred. 
  2. Minimum of 2-3 years of administrative, database, or office support experience. 
  3. Experience working in fundraising, nonprofit operations, or customer service preferred. 
  4. Experience with Raiser's Edge NXT or CRM systems.

  10. Positive attitude and strong interpersonal skills with a collaborative approach to teamwork.
