Job Title: Northfield Paralegal
Department: HOA and Litigation
Reports To: Northfield Attorney
FLSA Status: Non-Exempt
Summary: Performing diversified clerical duties in a professional manner by performing the following duties.
Duties and Responsibilities include the following. Other duties may be assigned.
  • Contacts clients and government offices via telephone, fax, or email
  • Develops a comprehensive understanding of the requirement and procedures of each county government office and innovates internal systems to create a smooth transaction.
  • Answers phone when requested from absences or helping other employees.
  • Some travel to government offices may be required on occasion.
  • Operates standard office equipment to include a multiple line telephone system, postage machine and scale, calculator, facsimile machine, computer with printer, and photocopy machine.
  • Type's correspondence and various documentation in the proper format and proofreads.
  • Files and records correspondence and documents as necessary
  • Ensures schedule is set according to attorneys' requests as needed
  • Schedules appointments for Northfield attorneys.
  • Conducts research as needed.
  • Takes notes appropriately for each case appropriately on Clio.
  • Communicates appropriately and answers questions with all staff members to keep information flowing.
  • Analyzes legal documents.
  • Manages client base.
  • Performs client intakes using the appropriate software.
  • Drafts and notarizes documents and answers questions for clients.
  • Serves as a witness as needed.
  • Communicates with clients regarding payment of fees, expenses, and invoices.
  • E-record statutory agent update and certificates of continued existence; obtain board authorizations to file same

  • Performs research for matters and prepares documents according to that research for attorney review.

  • Performs other related duties as assigned.

Specific Day to Day Duties may include:
  1. E-record documents with the respective county
  2. Return debtor phone calls
  3. E-record statutory agent update and certificates of continued existence; obtain board authorizations to file same
  4. Send emails to clients with cc:'s of correspondence to opposing parties
  5. Perform auditor, foreclosure and bankruptcy searches, prepare collection letters for attorney review
  6. Perform auditor, foreclosure and bankruptcy searches, pull deeds; prepare certificates of lien for attorney review
  7. Order copies of recorded documents; search for copies of recorded documents
  8. Order police reports and public records
  9. Prepare Instructions for Service and standard motions; notices of appearance
  10. Prepare small claims complaints; verify military status
  11. Prepare debt verification letters
  12. Prepare fee agreements and upload client files
  13. Prepare table of contents; review final versions of governing documents
  14. Prepare marginal indices re: members when needed for cross-referencing
  15. Notifying clients of necessary court appearances and directions for attendance

Education/Experience:
Associate's degree (A. A. / A. S.) or equivalent from two-year college or technical school; or two to four years related experience and/or training; or equivalent combination of education and experience.
