Title/Role: Union Payroll Administrator

Position Summary:

We are looking for a Union Payroll Administrator to join our Payroll team, working from the Wallingford, CT location. The Union Payroll Administrator performs a variety of functions necessary for the accurate and timely processing of multi-state, multi-company, weekly and payrolls for union employees.
What You'll Do:
Payroll Processing:
You will independently process payrolls in accordance with collective bargaining agreements and other contracts and in compliance with applicable company policies and federal, state, and local regulations.
Responsibilities include:
  • Timely and accurately processing weekly multi-state, multi-company payrolls
  • Processing on-demand payments, retro payments, one-time payments, and tax adjustments
  • Managing void checks, direct deposit changes and reversals, and overpayment collections
  • Reviewing and setting up withholding orders for levies, garnishments, child support, and other involuntary wage assignment orders in the payroll system
  • Understanding union pay and paid time off rules

Employee Payroll Support:
You will help answer employee questions and assist management in third-party payroll-related inquiries.
Responsibilities include:
  • Coordinate with Operations Managers, Foremen, and Supervisors to validate and finalize attendance records and ensure timely completion of corrections prior to payroll processing
  • Answering employee payroll and timekeeping questions and concerns in a timely manner
  • Managing the timely resolution of union payroll matters
  • Ensuring onboarding and offboarding tasks are completed, and employees are properly and timely

Data Tracking & Reporting:
You will assist in ensuring employee files are accurate during the entire lifecycle of employment.
Responsibilities include:
  • Prepare, review, and submit certified payroll reports and supporting documentation
  • Update weekly and monthly payroll metrics reports
  • Work with the GL team to reconcile payroll data with accounting records, including general ledger, accounts payable, and accounts receivable, and perform related account reconciliations and journal entries
  • Work with project managers and billing coordinators on the payroll component of AIA contract billing
  • Assist with labor audits, prevailing wage investigations, and compliance reviews
  • Special projects as required

What We're Looking for:
The Union Payroll Administrator works together with the corporate payroll team in Long Island City to coordinate, validate, and implement work procedures that require comprehensive operational knowledge of union collective bargaining agreements and federal and state regulations related to wage garnishment, taxation, and wage-hour law.
Experience & Skills:
  • Minimum 4+ years of hands-on union payroll processing experience, preferably with IBEW or IATSE
  • Strong working knowledge of FLSA, federal, state, and local wage and tax regulations
  • Associates Degree preferred
  • Experience in a multi-entity contractor construction environment or manufacturing setting preferred
  • Exceptional organization and attention to detail
  • Hands-on, no-nonsense attitude and willingness to think outside the box
  • Strong written and verbal communication skills
  • Ability to prioritize competing demands in a fast-paced environment
  • Professional judgment and discretion

Nice to Haves:
  • Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) designation
  • Experience with Payroll System Implementation (Workday, Miter, Procore)

Technology:
  • Comfortable with Microsoft Office, Google Workspace, proprietary systems, and a variety of timekeeping platforms
  • Intermediate Excel using VLOOKUP and pivot tables
