Here at Traverse City Whiskey Co., "The Whiskey of the North", we are a fast-growing distillery based in northern Michigan. We distribute numerous whiskey expressions across 30 states and cocktail ingredients, including Premium Cocktail Cherries, Simple Syrup and a full line-up of cocktail mixers (under the Cocktail Crate brand), nationwide.
We are seeking a highly reliable and experienced Executive Assistant to support our leadership team and bring organization, responsiveness, and consistency to a fast-paced environment.
Job Description
We're looking for a detail-oriented, highly organized Executive Assistant to provide hands-on administrative and operational support to two CEOs (one onsite, one remote). This role is grounded in execution, coordination, and communication - ideal for someone who thrives on keeping things moving, managing details, and ensuring nothing falls through the cracks.
The right candidate is a strong communicator and natural coordinator who can confidently manage day-to-day administrative responsibilities, serve as a central point of contact, and help direct information, people, and priorities where they need to go. This person must be comfortable handling both high-level communications and routine administrative work with equal care and professionalism.
This role requires sound judgment, discretion, and a high level of emotional intelligence to effectively support two different leadership styles and interact with a wide range of internal and external stakeholders.
Responsibilities
  • Manage and maintain complex calendars for two CEOs, including scheduling, prioritization, and conflict resolution
  • Coordinate and book all travel arrangements, including itineraries, accommodations, and logistics
  • Handle expense reporting, invoice tracking, and other administrative financial tasks accurately and on time
  • Serve as a central point of contact, routing inquiries, communications, and requests to the appropriate people or departments
  • Manage email and phone correspondence on behalf of the CEOs, ensuring timely and professional responses
  • Prepare, proofread, and format internal and external communications, documents, and presentations
  • Coordinate meetings, including scheduling, logistics, materials preparation, and follow-ups
  • Act as a "traffic coordinator" for the executive team - managing workflow, priorities, and information flow across the organization
  • Support sales-related administrative functions, including managing prospect and client communications, tracking interactions, and maintaining accurate records in CRM systems
  • Assist in organizing and following up on sales opportunities, ensuring timely responses and alignment with leadership priorities
  • Oversee and help manage CEO-related projects and priorities using project management tools, ensuring visibility, organization, and follow-through across key initiatives
  • Maintain and update systems (CRM, project management platforms, and internal trackers) to ensure accurate, up-to-date information and smooth coordination across teams
  • Maintain organized systems for files, contacts, and key documents
  • Support day-to-day office and administrative needs as they arise, including ad hoc tasks
  • Build strong working relationships across teams and represent the CEOs with professionalism and approachability
  • Maintain strict confidentiality and handle sensitive information with discretion

Qualifications
  • 5+ years of experience in an administrative, executive assistant, or office management role
  • Strong organizational skills with a high level of attention to detail and follow-through
  • Excellent written and verbal communication skills
  • Proven ability to manage multiple priorities and keep processes running smoothly in a fast-paced environment
  • Comfortable handling both high-level communications and routine administrative tasks
  • Experience supporting sales processes or working within a CRM system; familiarity with NetSuite is a plus
  • Experience using project management tools (such as Monday.com or similar platforms) to track tasks, deadlines, and priorities
  • Strong systems orientation with the ability to keep tools, data, and workflows organized and up to date
  • Strong interpersonal skills and high emotional intelligence; able to adapt to different personalities and working styles
  • Ability to anticipate needs, stay organized under pressure, and remain flexible
  • Proficiency with Google Workspace
  • Professionalism, discretion, and sound judgment in handling confidential information
  • Experience supporting multiple executives is a plus

Education
  • Bachelor's degree preferred but not required; equivalent experience or proven success in a similar role will also be considered
